Circadia Health in El Segundo, CA is hiring a Provider Ops Coordinator to own the lifecycle of medical records requests, coordinating with the RCM and Physician Operations teams to ensure accurate, on-time documentation packets. This role is based at our headquarters.

You will log, track, prepare, and review requests across payer portals and channels, maintain the tracking log, and escalate deadlines proactively while upholding HIPAA and compliance standards to support high-quality patient care.

Qualifications

• Minimum 2 years in a high-paced medical office handling medical records requests.
• Knowledge of HIPAA and release-of-information processes.
• Experience with EHR systems and patient documentation accuracy.
• Strong organizational skills to coordinate multiple requests and deadlines.
• Excellent written and verbal communication, adaptable in a startup.

Responsibilities

• Log and track incoming medical records requests across portals, fax, mail, and email.
• Prepare and consolidate documentation into complete packets for each request.
• Review packets for accuracy, including patient identity and dates, prior to submission.
• Submit packets to payers or entities and confirm receipt when required.
• Identify missing or inconsistent documentation before submission.
• Collaborate with RCM and Physician Operations to source necessary documentation.
• Maintain and escalate the request tracking log for at-risk deadlines.
• Maintain organized digital records to support compliance and audit readiness.
