Job summary

Golisano Institute for Business & Entrepreneurship in Buffalo, NY seeks a Campus Center Events & Experience Coordinator to plan and execute campus events, manage calendars, coordinate vendors, and ensure welcoming spaces for students, staff, and visitors.

Reporting to the Associate Vice President of Partnerships & Campus Experience, the role supports recruitment events, employer engagement, and signature Institute events while collaborating with multiple departments to enhance the campus

Qualifications

  • Bachelor’s degree in hospitality, Event Management, Business, Communications, Marketing, or related field, or equivalent experience.
  • Valid New York State driver's license.

Responsibilities

  • Coordinate and support campus events, student programs, recruitment activities, employer engagement events, community events, and Institute functions (scheduling, room setup, catering, vendors, AV, on-site support).
  • Support Buffalo campus experience by partnering with teams to deliver engaging programs and maintain a welcoming environment.
  • Manage Campus Center operations: event calendar, room reservations, setup/breakdown, inventory, and daily activities readiness.
  • Process purchase requests, track event expenses, maintain records, coordinate invoices, and prepare event documentation.
  • Perform other duties and special projects to support Buffalo campus and Institute operations.

POSITION SUMMARY:

The Campus Center Events & Experience Coordinator is responsible for coordinating and supporting events, programs, and activities that enhance the student, faculty, staff, and visitor experience at Golisano Institute for Business & Entrepreneurship's Buffalo campus. Reporting to the Associate Vice President of Partnerships & Campus Experience, this position coordinates campus events from planning through execution, including scheduling, room reservations, event setup, catering, vendor coordination, audiovisual support, and on-site event assistance.

Working collaboratively with Student Experience, Academic Affairs, Admissions, Marketing, Human Resources, and external partners, the Coordinator supports recruitment events, employer engagement activities, student programs, community partnerships, and signature Institute events. The role also assists with maintaining the Buffalo campus event calendar, coordinating event logistics, processing event-related purchases, and ensuring campus spaces are welcoming, organized, and prepared for daily operations and special events.

The successful candidate is organized, service-oriented, and collaborative, with strong communication and problem-solving skills. The ability to manage multiple priorities, provide exceptional customer service, and work occasional evenings and weekends is essential. This position plays an important role in creating a positive campus experience while supporting the Institute's mission, values, and commitment to student success.

MAJOR RESPONSIBILITIES (with estimated % of time annually):

Coordinate and support campus events, student programs, recruitment activities, employer engagement events, community events, and Institute-sponsored functions, including scheduling, room setup, catering, vendors, audiovisual needs, and on-site event support. (40%)

Support the Buffalo campus experience by partnering with Student Experience, Academic Affairs, Admissions, Marketing, and Partnerships to deliver engaging programs and maintain a welcoming campus environment. (20%)

Coordinate Campus Center operations, including event calendar management, room reservations, event setup and breakdown, inventory, and ensuring campus spaces are prepared for daily activities and special events. (15%)

Perform administrative support activities, including processing purchase requests, tracking event expenses, maintaining event records, coordinating invoices, and preparing event documentation. (15%)

Perform other duties and special projects as assigned in support of the Buffalo campus and Institute operations. (10%)

QUALIFICATIONS:
EDUCATION:
  • Bachelor’s degree in hospitality, Event Management, Business, Communications, Marketing, or a related field; or an equivalent combination of education and relevant experience.
  • Valid New York State driver's license.
EXPERIENCE:
  • One (1) to three (3) years of experience coordinating events, hospitality services, customer service, student activities, higher education programming, or a related field.
  • Experience coordinating multiple projects and competing priorities.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Experience working with vendors and external partners preferred.
  • Experience with event management software is preferred but not required.

PHYSICAL REQUIREMENTS:
  • Ability to stand and walk for extended periods while coordinating and supporting campus events and activities.
  • Ability to lift, carry, and move event-related materials and equipment weighing up to 30 pounds on a regular basis.
  • Ability to bend, stoop, reach, and move tables, chairs, signage, and other event equipment during event setup and breakdown.
  • Ability to work a flexible schedule, including occasional evenings and weekends, to support Institute events and campus activities.
  • Ability to work both indoors and outdoors and travel between campus locations or off-site event venues as needed.
