The Role

The Project Controls Manager is responsible for consolidating all project expenditures and forecasted expenditures into CAA ICON budget reports and forms, monitoring and reviewing the accuracy of the overall project budget (hard and soft costs, committed and uncommitted, risk and exposures), and managing cost documentation, invoices, pay applications, and draw requests. The role focuses on cost management, tracking, and facilitating resolution of scope changes, delay claims, or design impacts.

Responsibilities
  • Key point of contact for client group CFO, Controllers, and Finance Departments.
  • Track, forecast, and resolve potential scope changes, delay claims, design impacts, cash flow, and payment requisitions.
  • Maintain and update the project budget, cash flow, budget transfers, client‑approved adjustments, exposure logs, and contingency adjustments.
  • Obtain client signatures for all budget adjustments on appropriate forms.
  • Prepare detailed cash flow analysis with regular updates.
  • Coordinate with client’s financial department regarding forecast of costs, including any project schedule issues or known financial issues.
  • Manage monthly billing and payment applications, ensuring alignment with the project budget.
  • Set up and maintain an internal invoice tracker.
  • Evaluate, offer recommendations, and adjust contractor payment applications to ensure accuracy with work‑in‑place, stored materials, and compliance with specified quality of materials, systems, and installations.
  • Lead invoice and payment coordination with client, lenders, contractors, and consultants.
  • Lead monthly lender site‑walks and pay application review meetings.
  • Lead weekly or bi‑weekly budget review meetings with the client and other stakeholders.
  • Assist Project Executive in finalizing construction costs during pre‑construction, including negotiation of Guaranteed Maximum Price (GMP).
  • Monitor and track use of allowances or contingencies during construction.
  • Analyze change order requests and additional service requests, responding to delay notices, time extension requests, and submitted change orders.
  • Engage relevant parties to understand cost implications and negotiate terms with contractors and design team.
  • Develop and maintain project‑specific cost reporting logs, tracking contractor changes, design change requests, exposures, etc.
  • Monitor and analyze contractor and subconsultant‑provided cost logs.
  • Establish and maintain a project‑specific Purchase Order Log with Project Director.
Requirements
  • Bachelor’s degree in Finance, Engineering, or Construction Management (or related field).
  • 5–7 years of related experience, including supervisory/managerial experience.
  • Advanced experience using Microsoft Office Suite, specifically Excel.
  • Comfortable working in a fast‑paced, team‑oriented environment.
  • Ability to communicate clearly, deliver presentations, simplify variances and issues, and propose solutions.
  • Strong attention to detail with analytical skills.
  • Self‑starter able to work independently and in a team environment.
  • Travel as required to meet client or project needs.
  • High‑level understanding of Design Build and CMAR agreements.
  • Good understanding of FF&E procurement.

Compensation

Annual base salary range $93,000 – $124,000. Eligible for benefits and a discretionary bonus. Salary may vary based on experience, tenure, sector, and geography.
