Objective:

Lead the successful transition and restructuring of meeting planning vendor services within a major pharma client by defining roles, responsibilities, change strategies, and communication plans. Ensure business continuity, stakeholder alignment, and measurable performance improvements throughout the transition.

Key Responsibilities:

  • Change Strategy & Process Design:
  • Facilitate strategic discussions and decisions regarding the future operating model.
  • Design, document, and communicate updated roles, responsibilities, and processes to internal and external stakeholders with a focus on simplification and clarity.
  • Transition Management:
  • Oversee the development and execution of the transition project plan for the Meeting Planning Agency.
  • Coordinate across evolving team structures, establishing a future-state interaction model aligned with cost-saving goals and service-level expectations.
  • Knowledge & Communication:
  • Ensure effective knowledge transfer between outgoing and incoming teams/vendors.
  • Support the creation and dissemination of change management and communication materials.
  • Performance Monitoring & Governance:
  • Define and track performance metrics (effectiveness, satisfaction, operational efficiency) to measure transition success.
  • Regularly review and update policies impacted by restructuring.
  • Evaluate technologies and tools offered by the new vendor and guide the team through assessment and adoption.
  • Budget & Savings Tracking:
  • Manage project budget and track realized savings and operational efficiencies.
