Summary
The Business Systems & Technology Specialist is responsible for supporting the implementation, optimization, administration, and continuous improvement of business technology platforms across AM Owner Group and its affiliated companies.
This position bridges technology and business operations, working closely with department leaders to understand operational needs, identify practical technology solutions, improve existing systems, and support the successful implementation and adoption of new platforms. The Specialist provides hands‑on technical expertise throughout system planning, configuration, testing, training, launch, and ongoing optimization.
The role combines technical aptitude, project leadership, process improvement, and user support. The Specialist is expected to become a knowledgeable internal resource for designated company systems, identify opportunities to improve workflows and automation, troubleshoot system and process issues, and help departments better leverage technology to improve efficiency, visibility, communication, and decision‑making.
Essential Duties & Responsibilities
Business Systems & Technology Support
- Serve as a key internal resource for business systems, technology implementation, system administration, and system optimization across AM Owner Group and affiliated companies.
- Partner with company leadership and department leaders to understand operational needs, workflow challenges, system limitations, and technology opportunities.
- Evaluate current business systems and recommend improvements, configuration changes, integrations, automation, or replacement when appropriate.
- Translate business and operational needs into practical technology solutions, workflows, and implementation plans.
- Maintain visibility into assigned technology initiatives and help coordinate priorities, timelines, dependencies, and required resources.
- Research emerging technology and identify practical opportunities to improve company operations through new tools, automation, and innovation.
System Implementation & Project Leadership
- Lead or coordinate assigned software and business system implementations from planning through deployment and post-launch support.
- Develop implementation plans, timelines, milestones, responsibilities, testing requirements, training plans, and launch strategies.
- Coordinate with software vendors, consultants, department leaders, and employees throughout implementation.
- Configure systems, workflows, forms, permissions, templates, notifications, and other system settings when appropriate.
- Coordinate data collection, cleanup, migration, validation, and system setup required for new implementations.
- Identify implementation risks, dependencies, and barriers and work with stakeholders to resolve issues before they impact project timelines.
- Conduct or coordinate system testing prior to launch and ensure identified issues are documented and resolved.
- Provide leadership with clear updates regarding implementation progress, milestones, risks, decisions, and outstanding action items.
- Conduct post-implementation reviews and identify additional opportunities for improvement once systems are in active use.
Existing Systems Optimization & Administration
- Evaluate how departments are using existing company systems and identify opportunities to improve utilization, workflows, reporting, automation, and efficiency.
- Serve as a knowledgeable internal resource and system administrator for designated company platforms and applications.
- Maintain appropriate system configurations, workflows, user permissions, templates, dashboards, notifications, and other administrative settings for assigned systems.
- Work with department leaders to reduce unnecessary manual processes and identify opportunities to automate repetitive administrative work.
- Troubleshoot system-related issues and determine whether resolution can be handled internally or requires vendor or external technical support.
- Coordinate system updates, enhancements, integrations, and configuration changes.
- Periodically review system utilization and identify underutilized functionality or opportunities to improve the company's return on technology investments.
- Maintain awareness of assigned system contracts, licensing, renewals, user counts, and significant vendor requirements in coordination with Finance and department leadership.
Process Improvement & Integration
- Review business processes alongside technology to ensure systems support efficient and practical workflows rather than simply digitizing inefficient processes.
- Document current-state and future-state workflows when implementing or redesigning systems.
- Identify opportunities for systems to share information or integrate in order to reduce duplicate data entry and improve data consistency.
- Partner with departments to standardize processes where appropriate before or during technology implementation.
- Recommend changes to workflows, system configuration, or business practices when existing processes create unnecessary complexity or inefficiency.
- Support consistent technology practices across geographically dispersed operations while recognizing legitimate operational differences between departments and locations.
Training, Adoption & User Support
- Develop or coordinate training materials, user guides, standard operating procedures, and other documentation for assigned company systems.
- Conduct individual, small-group, and company-wide system training as needed.
- Support department leaders in preparing employees for system and process changes.
- Provide practical user support and guidance for assigned business platforms.
- Identify recurring user issues and determine whether additional training, process clarification, configuration changes, or system improvements are needed.
- Establish and maintain internal system documentation so critical system knowledge is retained by the organization rather than depending on individual employees.
- Monitor adoption following implementation and work with department leaders to address gaps in usage or compliance.
Data, Reporting & System Governance
- Work with leadership departments to improve the accuracy, accessibility, and usefulness of information maintained within company systems.
- Assist in developing dashboards, reports, and system-generated information that support operational and leadership decision-making.
- Maintain appropriate standards for system administration, user access, data quality, and system documentation.
- Coordinate with Human Resources and department leadership to ensure user access is appropriately added, modified, or removed as employee responsibilities change.
- Support appropriate controls around sensitive company and employee information maintained within business systems.
- Maintain documentation of major systems, administrators, vendors, integrations, configurations, and key business processes.
- Coordinate with outside IT, cybersecurity, software vendors, or technical specialists when issues extend beyond the position's internal expertise or authority.
Vendor & Technology Coordination
- Serve as a primary point of coordination with designated software and technology vendors.
- Participate in software demonstrations and evaluate potential technology solutions against company requirements.
- Assist leadership in comparing technology options, functionality, implementation requirements, ongoing support, and total cost.
- Coordinate vendor implementation resources, support requests, system enhancements, and issue resolution.
- Monitor vendor performance and elevate unresolved issues when necessary.
- Assist with technology budgeting, implementation costs, licensing costs, renewals, and other technology-related financial planning.
- Perform other related duties and special projects as assigned.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Associate or bachelor’s degree in information technology, Information Systems, Business Administration, Computer Information Systems, Project Management, or a related field, or an equivalent combination of education and relevant experience.
- Three to five years of progressively responsible experience working with business systems, technology implementation, software administration, systems analysis, project management, or a related field.
- Demonstrated ability to learn complex software platforms and become a knowledgeable internal resource.
- Experience implementing, configuring, administering, or significantly optimizing business software or technology platforms.
- Strong understanding of business processes and ability to translate operational needs into practical technology solutions.
- Demonstrated project leadership skills, including the ability to coordinate multiple stakeholders, deadlines, vendors, and workstreams.
- Strong technical aptitude and demonstrated ability to independently research and troubleshoot technology-related issues.
- Strong analytical and problem-solving skills with the ability to identify root causes rather than simply addressing symptoms.
- Ability to communicate technical concepts clearly to employees and leaders with varying levels of technical knowledge.
