KEY ACCOUNTABILITIES (not all-inclusive, within delegated authority)
- Maintain and manage bookings of armored vehicles, update consumption records, and ensure accurate fleet inventory records, including vehicle details.
- Coordinate transport demands for soft and armored vehicles for all internal and field mission trips, prepare for trips, and conduct vehicle check-ups after trips.
- Regularly check store conditions, including cleanliness and shelf-life, record new items, issue items to requesters, and update the system accordingly.
- Prepare and process requests for guest house groceries, receive items, ensure they are onboarded properly, store them appropriately, and update records.
- Handle cargo receipt, offloading, customs clearance, transportation, and storage for office use.
- Prepare supplies lists for office and guest house needs, ensuring sufficient stock levels.
- Create Service Entry Sheets (SES) and Goods Receiving Notes (GRN) in the system upon receipt of services and goods.
- Create Wings and petty cash Purchase Requests (PRs) for guest house and office expenses as needed.
- Prepare visitor gate passes for outgoing assets and materials to prevent loss and ensure internal controls.
- Act as the focal point for compound-related works and ensure guest house services are attended to promptly.
- Manage dispatching and receiving pouches between offices, ensuring delivery to correct addresses.
- Organize meetings, including arranging venues, stationery, visitor passes, and other requirements.
- Purchase items within petty cash limits for guest house and office needs.
- Maintain and update stocks for guest house and office supplies, record issuance and usage, and prepare monthly reports.
- Monitor work performed by casual staff and contractors, ensuring compliance with agreements.
- Coordinate housing and guest house accommodations for staff, ensuring cleanliness and functionality.
- Manage transport facilities, assign vehicles and drivers, and keep accurate movement records.
- Perform additional administrative tasks as needed.
- Monitor supplies for generators and vehicles, receive fuel, oil, spares, and update consumption records.
- Control fuel usage for armored vehicles, validate in FMS, and take responsibility in the absence of the focal point.
- Handle HR tasks such as managing attendance, leave requests, separation forms, and onboarding in the absence of the focal point.
QUALIFICATIONS, EXPERIENCE AND SKILLS REQUIRED
- Education: Secondary school completion or university diploma in Social Sciences, International Development, Business Administration, or related fields.
- Experience: At least two years' relevant experience with a secondary school certificate, or one year with a university degree in administrative work.
- Language: Proficiency in English and Somali.
- Skills: Proficient in office equipment and Microsoft Word, familiar with work routines, tactful communication, and problem-solving skills.
