Who we are looking for

Purpose

The Business Support Service Specialist will provide operational and administrative support to various GRD teams and functions, focusing on supporting the Head of Global Medical and Medical Affairs team for high-priority global medical initiatives. This role reports directly to the Head of Global Business Support Services and emphasizes executing operations, enhancing efficiency, and collaborating across functions to meet strict timelines with compliance to SOPs and procedures.

Main Responsibilities

  • Assist with scheduling meetings for Medical Affairs Leadership and cross-functional teams across multiple time zones.
  • Provide executive support to the Head of Global Medical Affairs, including calendar management, reports, and travel arrangements.
  • Organize in-house and off-site meetings, including logistics and catering.
  • Support contracting processes and procurement according to SOPs, including managing approval workflows and digital signatures.
  • Process purchase orders, invoices, and expense reports, ensuring timely routing and approval.
  • Coordinate monthly cost accruals with budget owners and finance.
  • Act as liaison between internal staff and external vendors or customers.
  • Attend meetings to take notes, prepare presentations, and handle correspondence.
  • Utilize organizational policies and procedures effectively.
  • Handle confidential information with discretion.
  • Support contract management and travel arrangements as needed.
  • Provide backup support to other team members.

Experience Required

  • At least 3 years in the life sciences industry supporting executives and teams, preferably in Medical Affairs and office operations.
  • Proactive, independent, and able to prioritize effectively.
  • Strong communication, problem-solving, and organizational skills.
  • Experience handling sensitive data confidentially.
  • Familiarity with contract management, budget processing, MS Office, and ideally SAP and Concur.

Education

Bachelor's degree or equivalent experience in a relevant field.
