Job summary

Iron Mountain seeks a Business Support / Project Coordinator based in Boyers, PA to provide administrative support to facility and project teams. You will coordinate schedules, maintain documents, manage procurement, and ensure timely invoicing and reporting.

Qualifications

  • Associate degree in business administration preferred.

  • Minimum five years of experience in business support, administrative, or project-coordination roles.

Responsibilities

  • Provide day-to-day administrative support to facility management and project management teams.
  • Coordinate project schedules and other project and maintenance administrative functions.
  • Administer the GRE FM onsite procurement process: generate work orders, receive deliveries, and complete invoicing.
  • Generate customer billing documents for utilities and labor as outlined by lease requirements and coordinate with finance to ensure accurate invoicing.
  • Generate and maintain GRE facility environmental reporting files for delivery to customers to meet SLAs.
  • Maintain GRE FM files for archival library and audit purposes.
  • Assist in development and review of Methods of Procedures (MOPs), Standard Operating Procedures (SOPs), project scopes, and process documentation to support daily operations and process improvement initiatives.
  • Participate as a knowledgeable member of the Boyers Global Real Estate team.
  • Learn and operate facility‑management work‑order and project‑management software systems to support GRE business operations.
  • Coordinate with internal groups (Core business operations, IMDC, GSRS) to schedule customer and vendor visits and reserve required logistics.
  • Read, understand, and apply standard documents affecting real‑estate projects (agreements, leases, project charters, work letters, surveys, drawings).
  • Interface with customers to develop project requirements and prepare project scopes, resource requirements, cost estimates, budget tracking, work‑plan schedules & milestones, and risk identification.
  • Support the Request for Proposal process, including bid analysis.
  • Support project delivery for smaller projects.
  • Track progress of projects against goals, budgets, and timelines; report status and variances.
  • Create action plans to meet objectives, budgets, and schedules.

Job Summary

Based in Boyers, Pennsylvania, the Business Support / Project Coordinator position is responsible for providing administrative support to the GRE Facility and Project Management Group. The incumbent will handle day‑to‑day administrative tasks for Iron Mountain’s facility management and project management teams, coordinate project schedules and maintenance functions, and maintain constant communication with internal and external customers, vendors, and suppliers.

Education & Experience

  • Advanced proficiency in Google G‑Suite and/or Microsoft Office, with emphasis on intermediate spreadsheet use.

Physical & Practical Requirements
  • Minimal travel (<10% of the year).
  • Willingness to work overtime as needed.
  • Valid driver’s license.
