Join JLL as a Part Time Facilities Coordinator and become an integral part of our operations team in San Antonio, TX. In this dynamic role, you will provide essential support to Site and Assistant Facility Managers, ensuring seamless day-to-day operations while building positive client and vendor relationships. You will be the go-to person for maintaining our facility at the highest standards, coordinating services, managing work orders, and serving as a key point of contact for site amenities and operations. This position offers an excellent opportunity to develop your facilities management expertise while contributing to an environment of teamwork, performance excellence, and exceptional client service.
Vendor Management:Acting as the site Point of Contact (POC) for outside vendors and coordinating on-site repairs or maintenance.
Facilities Upkeep:Managing general cleaning, coordinating trash pickups, and overseeing new furniture installs (either DIY or via vendor).
Compliance & Training:Completing required safety training (approximately 30 minutes to 1 hour per month).
Micro-Kitchen (MK) Management:Stocking food and drinks, conducting a full "push" on the first workday of the week, and performing follow-up stocking as needed.
Access Control:Coordinating badge access, including assigning temporary badges and issuing permanent ones.
Financial Administration:Managing P-Card spend, monitoring budgeted vs. ad-hoc spending (with the AFM), and tracking/uploading receipts.
Communication & Meetings:Participating in weekly 1-on-1s with the AFM, site-lead communication calls, and daily stand-up calls with the team.
Catering Coordination:Managing DoorDash memberships (adding/removing users) and receiving site-delivered meals.
Ticketing:Creating and maintaining tickets for all REWS and facility requests.
Inventory Governance:Establishing warehouse practices and protocols, managing all aspects of inventory, and resolving workflow problems.
Inventory Audits:Conducting full monthly counts and bi-weekly counts for limited-stock items.
Shipping & Receiving Oversight:Managing shipments based on max/min stock levels to ensure inventory upkeep.
Dedicated Meetings:Leading the 30-minute weekly site warehouse meeting.
Experience in warehouse inventory management with a strong background in facility operations and the coordination of work orders, characterized by a highly organized approach.
Proficiency in Google Suite.

Shift Schedule & Days Off:Monday through Friday, 8:00 AM to 1:00 PM (Days off: Saturday and Sunday)
