Job summary

CSU, Chico Research Foundation on the Chico State Campus seeks a temporary Business Operations Specialist to manage onboarding and ongoing engagement for member institutions. You will coordinate communications, renewals, and compliance with the Contracts administrator and Chico State Enterprises.

You will monitor SAP UCC curriculum resources and related documentation, prepare engagement reports, and maintain accurate records across contracts, invoices, and partnerships.

Responsibilities

  • Manage the onboarding and ongoing engagement process for member institutions, including outreach coordination, communications, and retention strategies.
  • Collaborate with the Contracts administrator/Chico State Enterprises (CSE) to ensure timely renewals and compliance documentation, including contracts, amendments, and proper invoicing.
  • Maintain familiarity with the University Competence Center (UCC’s) SAP-hosted curriculum portfolio/Learning Environments, as well as SAP Cloud offerings, to guide members toward appropriate instructional resources.
  • Prepare and analyze regular engagement reports to assess member activity, outcomes, and trends that inform strategic planning.
  • Coordinate with administrative and technical teams to ensure operational efficiency and service quality across member-facing processes.
  • Prepare, review, track, distribute, and maintain agreements, renewals, amendments, invoices, and related documentation.
  • Monitor contract timelines, renewal schedules, payment statuses, and operational deadlines to ensure timely follow-up and completion.
  • Maintain accurate records, databases, logs, and electronic filing systems related to contracts, customers, invoices, operational processes, and institutional communications.
  • Coordinate with Chico State Enterprises, university departments, SAP UCC leadership and staff, member institutions, and external partners regarding operational and contractual matters.
  • Ensure documentation is accurate, complete, consistent, and compliant with established procedures.
  • Provide operational support for SAP UCC activities, meetings, events, communications, onboarding activities, customer support functions, and curriculum-related initiatives.
  • Organize, review, update, format, and maintain curriculum materials, instructional resources, and related documentation as needed.
  • Prepare and process operational forms, reports, travel documentation, reimbursements, purchasing paperwork, and other business-related documentation.
  • Support shared inbox management and ensure timely, professional, and accurate responses to inquiries.
  • Monitor outstanding action items, responsibilities, and deadlines.
  • Maintain confidentiality and exercise sound professional judgment when handling sensitive information.
  • Communicate professionally and effectively with faculty, university administrators, SAP representatives, Chico State Enterprises personnel, SAP UCC team members, and other stakeholders.
  • Collaborate with SAP UCC staff and cross-functional partners to support organizational priorities and achieve operational goals.
  • Proactively communicate status updates, concerns, delays, and operational issues in a timely and professional manner.
  • Deliver high-quality customer service while maintaining professionalism, responsiveness, and sound judgment.
  • Interpret and explain operational procedures, processes, and requirements clearly and accurately.
  • Draft, edit, proofread, and maintain professional correspondence, reports, communications, and documentation.
  • Represent the SAP UCC professionally in all written, verbal, and interpersonal interactions.

COMPENSATION: $30.00 - $35.00 per hour

ESSENTIAL JOB FUNCTIONS:

COMPLIANCE REQUIREMENTS:

Satisfactory completion of a background check (including a criminal records check) is required for employment. Chico State Enterprises will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current Chico State Enterprises employee who was conditionally offered the position.

BENEFITS:
