Role
Business Operations Manager partnering directly with the VP of Cloud Operations & SRE to run the operating spine of the organization: planning, reporting, cadence, cross-functional programs, executive support, and automation of recurring tasks.
Key Responsibilities
Business operations, programs and reporting
- Own the operating cadence: staff meetings, business reviews, planning cycles and offsites.
- Drive cross-functional programs from planning through completion, tracking dependencies, risks and status.
- Build and maintain leadership reporting: KPI/SLO roll-ups, dashboards, weekly status and business review packages; ensure data integrity.
- Run goal-setting and OKR cycles: draft, track and report against commitments.
- Coordinate invoice management, vendor tracking, approval workflows and payment follow-up.
Organisational and team operations
- Track headcount and open requisitions; coordinate hiring loops and candidate scheduling; own onboarding.
- Maintain team records, distribution lists, organizational documents and shared files.
- Own internal communications, all-hands content and team offsites.
- Support team processes, identify operational needs, and adapt to shifting priorities.
Executive support
- Manage the VP’s calendar, inbox, travel (domestic and international), and speaking engagements.
- Prepare meetings: gather documents, create agendas, take minutes, coordinate logistics and follow-ups.
- Liaise between teams and external parties; screen communications and draft/send messages on behalf of the team.
- Manage department credit cards and expense reconciliation.
- Provide ad-hoc support to other departments or executives as required.
Automation & judgment
- Build and operate agentic automations for recurring tasks (reports, meeting briefs, inbox triage, travel logistics, expense reconciliation, doc hygiene).
- Know when human judgment is required; decide which items an agent can handle and which require executive attention.
Requirements
- 5+ years in business operations, program management, chief-of-staff or senior executive support roles, including direct experience supporting a senior executive and time in high-ambiguity environments (startup/scale-up or similar).
- AI-native: daily use of AI assistants and agentic tools; able to describe specific automated workflows and how issues were fixed.
- Hands-on with agentic tooling and personal AI agents for calendar, inbox, scheduling; daily use of general-purpose assistants (Claude, ChatGPT, Gemini) and connective automation between systems.
- Strong program and cadence management: agendas, pre-reads, decision logs and honest status reporting.
- Comfort with numbers: build reporting roll-ups, spot misleading metrics, and explain trends to leadership.
- Good judgment under incomplete information and strong discretion (board materials, compensation, org changes).
Nice to have
- Built small useful solutions with low-code tools (scripts, dashboards, bots).
- Experience running planning or OKR cycles for technical orgs.
- Owned projects, budgets, vendor relationships, or offsites end-to-end.
- Experience in organizations with stated AI adoption strategies.
- Comfort with data infrastructure, energy, or high-growth technical businesses.
- Expected base salary: USD 130,000 – 175,000 per year.
