Position Summary
The Business Office Manager oversees all community accounting functions, including accounts payable, accounts receivable, third-party billing, and billing for private pay, insurance, Medicare, and Medicaid. Serves as the liaison with the corporate accounting department.
Principal Duties and Responsibilities
- Provide quality customer service to residents, families, co-workers, and vendors.
- Manage all business office functions: accounts payable, receivable, billing, and inquiries.
- Document, prepare, and distribute patient statements.
- Manage aging and delinquent accounts, developing collection strategies.
- Recommend write-offs to the Executive Director.
- Participate in Triple-Check meetings with clinical and therapy teams.
- Verify insurance on referrals and new admissions, maintain census data, and assist with insurance verification.
- Use healthcare billing software proficiently.
- Analyze monthly financial statements and variance reports.
- Prepare reports for corporate and executive review.
- Participate in financial audits and AR reviews.
- Attend mandatory meetings and safety training.
- Supervise administrative staff as assigned.
- Advise on third-party insurance matters and manage Medicaid applications and renewals.
- Manage daily census reporting and billing communication with residents and families.
- Handle collections, initiate small claims, and represent the organization in court if needed.
- Maintain resident files and communicate billing-related updates.
- Manage resident trust funds, deposits, and balances.
- Allocate vendor invoices and record patient payments.
- Perform other duties as assigned.
Qualifications
- Bachelor’s degree preferred; or 1-2 years of related experience.
- Minimum two years of business office management experience.
Skills and Knowledge
- Understanding of payer sources like Medicare, Medicaid, and private insurance.
- Effective communication skills with residents and families.
- Proficiency in business software, especially Microsoft Office.
- Ability to handle deposits and pursue collections.
Additional Information
Must be physically able to assist in patient evacuations during emergencies.
