Job summary

Camelot Nursing and Rehabilitation Center in Farmington, MO is hiring a Business Office Manager to lead billing, AR, and collections while supervising staff and ensuring compliance with policies. You will coordinate Medicaid processes and maintain confidential patient financial data, interacting with families and payers.

The role requires strong MS Office and HRIS skills, attention to detail, and excellent communication.

Qualifications

  • High school diploma or GED; some college/technical school coursework and minimum of three years of job-related experience
  • Experience with Medicaid, Medicare, & Private Pay is preferred
  • Experience in Office Management is preferred
  • Skilled nursing, geriatric and long-term care experience is preferred
  • Proficient knowledge of computer software (Microsoft Office Suite) and HRIS system
  • High level of interpersonal skills to handle sensitive information and documentation while maintaining privacy/confidentiality
  • Attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines
  • Good to excellent spelling, grammar and written communication skills
  • Excellent telephone and oral communication skills
  • Must be a team player and able to work independently in a fast-paced environment
  • Ability to operate standard office equipment

Responsibilities

  • Manages billing, accounts receivable, and collection activities in the facility
  • Organizes, evaluates, and monitors business office operations and supervises assigned personnel
  • Meets with family members to gather information and ensures payer sources are documented in EHR
  • Assists with Medicaid Pending applications and coordinates with outside agencies
  • Ensures confidentiality of all patient financial data
  • Performs collection activities for patient carriers
  • Maintains system of financial record keeping and bank deposits
  • Interacts with home office billing team and payers to define billing requirements and ensure prompt payment
  • Manages census balancing with nursing/admissions
  • Produces reports for analysis as needed
  • Manages month-end close related to charge capturing and invoicing
  • Ensures compliance with billing policies
  • Monitors ongoing AR, billing, and collections projects
  • Manages Resident Trust Account reconciliations
  • Manages Facility Petty Cash reconciliations
  • Maintains personnel files in compliance with legal requirements

Essential Functions of Business Office Manager (BOM):
  • Manages billing, accounts receivable, and collection activities in the facility.

  • Organizes, evaluates, and monitors business office operations and supervises assigned personnel in accordance with established policies and procedures.

  • Meets with family members to gather information and ensures that all payer sources are documented and input correctly into EHR.

  • Assists with Medicaid Pending applications, and works with resident, family and applicable outside agencies to finalize facility coverage through Medicaid.

  • Ensures integrity and confidentiality of all patient financial data.

  • Performs collection activities for patient carriers.

  • Establishes and maintains a system of financial record keeping, to include issuing receipts, preparing and making bank deposits, and recording payments using proper segregation of duties.

  • Interacts with home office billing team and payers to define billing requirements and ensures prompt payment of claims.

  • Manages census activities including daily, weekly, and monthly balancing with the nursing and admissions departments.

  • Produces reports for analysis purposes as needed.

  • Manages month-end close activities related to charge capturing and submission of all billing statements and invoices to payors.

  • Ensures compliance with all policies and procedures relating to billing.

  • Monitors all ongoing projects related to AR, billing, and collections within the facility.

  • Manages Resident Trust Account for inhouse residents, to include weekly and monthly reconciliations.

  • Manages Facility Petty Cash to include reconciliation and reimbursement weekly and monthly.

  • Maintains personnel files in compliance with applicable legal requirements

Qualifications of Business Office Manager (BOM):
  • High school diploma or general equivalency is preferred, with some college or technical school course work and minimum of three years of job-related experience, preferably in medical billing and coding, or any equivalent combination of education and experience that provides the required knowledge, skills and abilities.

  • Experience with Medicaid, Medicare, & Private Pay is preferred

  • Experience in Office Management is preferred

  • Skilled nursing, geriatric and long-term care experience is preferred

  • Proficient knowledge of computer software (Microsoft Office Suite) and computer hardware, and use of HRIS system

  • High level of interpersonal skills to handle sensitive information and documentation while maintaining privacy/confidentiality.
