Job summary

High Point Fort Mill is seeking an experienced administrator to assist the Executive Director in operating and managing the community in accordance with policies, procedures, and applicable laws. You will oversee billing, payroll reporting, and the business office while maintaining confidentiality of residents’ information.

The role requires a Bachelor’s degree in a health-related field or related area, plus at least three years in accounting, bookkeeping, or office management.

Job description

Assists the Executive Director in the operation and management of the community in accordance with the policies and procedures and federal/state/local laws and regulations, including, but not limited to, the following responsibilities listed below.

Essential Duties and Responsibilities

The following duties are normal for this position. This list is not to be construed as exclusive or all inclusive. Other duties may be required and assigned.

  • Coordinates the recruitment function of the community from vacancy advertising, interviewing and evaluating and tracking applications.
  • Coordinates gathering of information for new hire paperwork and utilizes e-onboarding system to ensure timely completion of new hire paperwork.
  • Maintains human resource information system records, compliance and compiles reporting.
  • Maintains onsite personnel files.
  • Analyzes, prepares and inputs payroll data. Uses payroll system to produce accurate and timely payroll and reports.
  • Prepares weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) for management, as requested.
  • Ensures current federal and state postings are placed in the proper locations
  • Coordinates worker’s compensation activities, including but not limited to filing first report of injury, patient follow up, light duty assignments and return to work.
  • Oversee the functions of the business office including assisting with marketing functions, conducting community tours, coordinate billing, accounts receivable and payable processing, and making bank deposits.
  • Post ledgers, balance and reconcile individual resident accounts.
  • Maintain a close liaison with residents and their organizations and communities, keeping informed at all times of their desires and requirements.
  • Work within the established budget and communicate variances to the Executive Director
  • Maintains confidentiality of residents’ private health information.
  • Participate in planning and implementing strategies established for the efficient and effective operation of the community.
  • Assist and fill in as telephone/office receptionist as necessary during business hours.
  • Maintain and safeguard the property of the community in accordance with accepted policies.
  • Monitor, purchase, stock and maintain all department supplies within budget.
  • Dependable and able to meet schedule requirements (attendance and punctuality).
  • Other duties as assigned by Supervisor.
Supervisory Responsibilities
  • The position falls under the direct supervision of the Executive Director and is expected to perform independently and exercise good judgment. The position does not supervise other associates.
Qualifications

Educational Requirements and Experience
  • Bachelor’s degree in Hospitality, Health Care, Business Administration or a health-related field required.
  • Minimum of three (3) years of experience in accounting, bookkeeping, or office management.
  • Senior living, health care or hospitality experience preferred.
Knowledge, Skills and Abilities
  • Ability to read and write, follow written and oral instructions, and communicate effectively in English. Ability to read and interpret reports, business correspondence and procedural manuals. Ability to effectively present information and respond to questions from Executive Directors and Executive Team. Ability to work with employees and the elderly in a courteous and friendly manner, demonstrating patience and compassion. Ability to perform duties with consideration for employee and resident rights at all times and demonstrate integrity and discretion in the care and handling their personal information. Strong leadership, motivational, and organizational skills essential.
Technical Skills
  • Knowledge of accounting practices and procedures, laws, regulations and guidelines pertaining to senior living industry. Experience with US GAAP accounting procedures. Ability to plan, organize, develop, implement, interpret, and manage programs, goals, objectives, policies, procedures, and resources necessary to provide quality service. Advanced computer skills in MS Office (especially Excel), accounting software and databases.
  • Works in well-lighted, well ventilated building. Must be able to tolerate occasional exposure to dust, fumes, odors, water, etc., as well as some noise. Subject to frequent interruptions. Subject to hostile or emotionally upset individuals. Must be willing to work, when necessary, beyond normal working hours and on weekends, as well as in other positions as necessary. The position requires exposure to some risk to physical and/or mental health and safety (i.e., physical assault, communicable disease, etc).
