Job summary

Athra Systems/Crosstown Mental Health in Texas seeks a seasoned Behavioral Health Business Office Director to oversee the complete revenue cycle, including registration, verification, billing, collections, and enrollment while ensuring HIPAA compliance and payer alignment.

Qualifications

  • Bachelor's degree in Healthcare Administration, Business Administration, Finance, or related field; Master’s preferred.
  • Minimum 5 years of progressive revenue cycle management experience, including leadership responsibilities.
  • Minimum of 3 years of professional billing experience in behavioral health settings.
  • Strong knowledge of CPT, ICD-10-CM, HCPCS, modifiers, and payer reimbursement methodologies.
  • Experience with insurance credentialing and payer enrollment.
  • Familiarity with Medicare/Medicaid and managed care reimbursements.
  • Proficiency in Excel and financial reporting.
  • Excellent leadership, organizational, analytical, and communication skills.

Position Summary

The Behavioral Health Business Office Director is responsible for leading and managing
all business office operations to ensure the financial health of the organization. This
position oversees the complete revenue cycle, including patient registration, insurance
verification, professional billing, collections, payment posting, accounts receivable,
credentialing, and insurance enrollment. The Director ensures compliance with federal,
state, and payer regulations while maximizing reimbursement and improving operational
efficiency.

Essential Duties and Responsibilities
  • Direct and oversee all business office operations for behavioral health services.
  • Manage the complete professional billing revenue cycle from patient intake through final payment resolution.
  • Ensure accurate and timely submission of professional claims (CMS-1500) to Medicare, Medicaid, commercial insurance carriers, and managed care organizations.
  • Monitor accounts receivable (A/R), aging reports, denials, write-offs, and collection activities to maximize reimbursement.
  • Develop and implement strategies to reduce uncollectible accounts and improve cash flow.
  • Supervise billing staff, payment posting, collections, customer service, and business office personnel.
  • Oversee insurance eligibility verification, prior authorizations, benefit coordination, and patient financial counseling.
  • Understanding of provider enrollment and credentialing processes sufficient to provide leadership, monitor performance, and collaborate with enrollment staff or third-party vendors to ensure timely and accurate payer enrollment.
  • Maintain compliance with HIPAA, CMS regulations, payer policies, and behavioral health billing requirements.
  • Analyze revenue cycle metrics and prepare monthly reports for SVP/CFO.
  • Develop and maintain policies, procedures, and internal controls for business office functions.
  • Collaborate with clinical leadership to resolve documentation and coding issues affecting reimbursement.
  • Coordinate external audits and respond to payer inquiries and documentation requests.
  • Evaluate and optimize electronic billing systems, clearinghouse performance, and practice management software.
  • Train, mentor, and evaluate business office staff while fostering a culture of accountability and continuous improvement.
Required Qualifications
  • Bachelor's degree in Healthcare Administration, Business Administration, Finance, Accounting, or a related field. Master's degree preferred.
  • Minimum of 5 years of progressive revenue cycle management experience, including leadership responsibilities.
  • Minimum of 3 years of professional billing experience, preferably in behavioral health, psychiatry, substance use disorder, or outpatient mental health services.
  • Extensive knowledge of professional billing, CPT, ICD-10-CM, HCPCS, modifiers, and payer reimbursement methodologies.
  • Demonstrated experience with insurance credentialing and payer enrollment.
  • Strong understanding of Medicare, Medicaid, commercial insurance, managed care, and behavioral health reimbursement.
  • Experience with electronic health records (EHR), practice management systems, and electronic claims processing.
  • Advanced proficiency in Microsoft Excel and financial reporting.
  • Excellent leadership, organizational, analytical, and communication skills.
Preferred Qualifications
  • Demonstrated experience using Tebra (Kareo), AdvancedMD, or comparable electronic health record (EHR) and practice management/billing systems.
  • Proficiency in managing electronic claims submission, payment posting, denial management, reporting, and revenue cycle workflows within Tebra, AdvancedMD, or similar healthcare billing platforms.
  • Certified Professional Biller (CPB), Certified Revenue Cycle Representative (CRCR), or comparable certification.
  • Experience managing multi-site behavioral health operations.
