The Senior Business Development Coordinator/Specialist will help convert firm's specialized expertise and national visibility into qualified opportunities, stronger client relationships, and well-executed pursuits.

Based in Dallas, this position supports growth across the company and works directly with the President / Principal Architect.

This role combines independent coordination, thoughtful research, clear writing, and regular client and partner contact. This role is a hybrid opportunity with 3 days based in the Dallas, TX office.

Responsibilities and anticipated time allocation:
Opportunity tracking and proposal development — 30%
  • Monitor public procurement notices, consultant selections, capital plans, and relevant project announcements across target markets.
  • Evaluate opportunities for alignment with the firm’s expertise, relationships, capacity, and strategic priorities; summarize findings for pursuit decisions.
  • Coordinate proposal schedules, submission requirements, consultant contributions, qualifications packages, and final quality reviews.
  • Maintain a current proposal library, project descriptions, staff résumés, references, and supporting materials.
Client relationships and CRM — 30%
  • Initiate and coordinate outreach to prospective clients, existing clients, and architectural and engineering partners.
  • Maintain accurate HubSpot contact, company, opportunity, and activity records; establish follow-up tasks and keep next steps current.
  • Prepare background briefs for meetings and calls, record relationship intelligence, and coordinate timely follow-through.
  • Develop consistent contact plans that advance relationships and help leadership identify when direct engagement is most valuable.
Conferences and industry engagement — 15%
  • Track conference dates, presentation deadlines, sponsorship opportunities, and relevant professional association activities.
  • Coordinate speaking submissions, event preparation, meeting schedules, and post-event follow-up.
  • Support the President’s national speaking program and connect industry engagement with active business development priorities.
Presentations and interview preparation — 10%
  • Assemble qualifications presentations, interview materials, project examples, and client-specific talking points.
  • Coordinate preparation schedules and ensure materials clearly express firm's expertise, approach, and value to the prospective client.
Market research and business planning — 10%
  • Research target agencies, capital programs, facility needs, potential partners, and competitive conditions.
  • Prepare concise pipeline reports that identify pursuit status, next actions, deadlines, and decisions needed from leadership.
  • Support companywide business development planning and assess which activities are producing useful relationships and qualified opportunities.
Marketing content and consultant coordination — 5%
  • Coordinate with outside marketing consultants on website updates, announcements, project features, and supporting content.
  • Keep qualifications materials current and consistent with firm’s positioning, technical expertise, and visual identity.

Time allocations provide an initial planning framework and may shift with pursuit deadlines, conferences, and business priorities.

Qualifications
  • Demonstrated experience coordinating business development, proposals, and client relationships within architecture, engineering, construction, or a related professional services practice.
  • Strong writing, editing, organization, and presentation skills, with the ability to translate technical information into clear client-focused material.
  • Experience maintaining a CRM and managing a dependable follow-up process; HubSpot familiarity is valuable.
  • Ability to manage overlapping deadlines, coordinate contributions from others, and complete assignments with limited day-to-day direction.
  • Comfort communicating directly with public agency representatives, consultants, and prospective clients.
  • Proficiency with Microsoft Office and presentation tools; familiarity with proposal layout software and public procurement processes is valuable.
  • Willingness to travel for selected conferences, client meetings, and company coordination.
Judgment, initiative, and technology

Success requires initiative and practical business judgment. You will recognize promising opportunities, recommend priorities, identify missing information, and move agreed actions forward. Pursuit commitments, fee decisions, and strategic positioning will remain coordinated with the President.

Use approved AI tools and CRM automation to streamline research summaries, first drafts, meeting preparation, and routine tracking. Verify factual accuracy, protect confidential information, and apply professional judgment to every external communication. These tools should create more time for client engagement and relationship development.

Measures of success

  • Accurate CRM records, timely follow-up, and clear visibility into the companywide pipeline.
  • Complete, compelling proposals and presentations delivered on schedule.
  • Stronger engagement with target clients and teaming partners, supported by documented next steps.
  • Reduced routine coordination demands on the President and productive use of conferences and speaking engagements.
