Overview

JOB SUMMARY

We are seeking a highly organized, detail-oriented, and proactive Business Development Executive Assistant to support our Business Development capture team. This role combines executive administrative support with hands-on coordination of business development activities, ensuring our Capture Executives can focus on strategy, growth, and client engagement. The ideal candidate thrives in a fast-paced environment, manages multiple priorities with ease, and demonstrates strong communication and coordination skills.

Executive & Administrative Support
  • Schedule meetings, coordinate demos, ensure facility access and availability, and coordinate travel.
  • Prepare and disseminate agendas, presentations, and materials for internal and external meetings.
  • Draft, edit, and proofread correspondence and assist with follow-ups.
  • Capture notes, data, and actions from meetings within the appropriate templates.
Business Development Coordination & Support
  • Familiar with Federal Government opportunities, organizations, and contracting.
  • Conduct research on prospects, industries, competitors, and market trends.
  • Create capability matrices and coordinate inputs from internal staff and external partners.
  • Support preparation of informational papers in response to Government or partner requests.
  • Maintain and update CRM systems to track leads, opportunities, and pipeline activity.
  • Use CRM to collect and provide data for business development metrics, including pipeline health, win/loss data, and client engagement.
Event Support
  • Assist in the planning and execution of conferences, trade shows, networking events, demonstrations, customer meetings, and other Business Development events.
  • Coordinate with marketing and graphics team for necessary flyers, images, videos, etc.
  • Manage timelines and track progress to ensure necessary preparation is complete prior to events.
Information & Document Management
  • Maintain organized records of tracked opportunities and customer engagements.
  • Create and update standardized templates for presentations and capture information.
  • Safeguard sensitive business and client information with the highest level of confidentiality.
Specific Skills
  • Strong organizational and time-management skills; ability to handle multiple priorities.
  • Excellent written and verbal communication skills with attention to detail.
  • Familiarity with federal government solicitations and RFP processes.
  • Meeting planning and coordination experience.
  • Proficiency in Microsoft Teams, SharePoint, and Office Suite (Word, PowerPoint, Excel, Outlook); experience with CRM systems preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Professional presence with strong interpersonal skills.
