Job summary

The University of Georgia is seeking a Business Assistant in the UHC-Physical Therapy department to support daily administrative functions, patient access, insurance processes, and clinic operations. You will handle scheduling, registration, and billing assistance while delivering exceptional customer service and maintaining HIPAA compliance.

This full-time role operates Monday–Friday, 8 am–5 pm in the Athens area.

Minimum Qualifications High school diploma or equivalent and 2 years of related experience

Preferred Qualifications UHC Minimum:

  • One year of experience in a healthcare setting involving patient scheduling, insurance verification, prior authorization, patient registration, billing support, or related administrative functions.

UHC Preferred:

  • Associate or bachelor’s degree in business administration, Healthcare Administration, Accounting, or a related field.
  • Three years of experience in a multispecialty medical practice, rehabilitation clinic, or hospital setting.
  • Experience with electronic medical records (EMR) systems and medical insurance processes
Position Summary

The Business Assistant is a key member of the Physical Therapy Department and reports to the Physical Therapy Operations Coordinator. This role is primarily responsible for supporting daily administrative functions, patient access, insurance processes, and overall clinic operations. The position also provides comprehensive front-office support, including managing patient scheduling, registration, insurance verification, and billing assistance, while ensuring efficient clinic flow and exceptional customer service. In collaboration with clinical team members, and healthcare partners, the Business Assistant contributes to coordinated care delivery and plays an important role in enhancing the overall patient experience.

Knowledge, Skills, Abilities and/or Competencies
  • Strong customer service, interpersonal, and communication skills.
  • Possess a solid understanding of medical insurance plans, eligibility verification, and reimbursement processes.
  • Skilled in using EMR systems and Microsoft Office applications.
  • Effectively manage multiple priorities in a fast-paced clinical environment.
  • Exhibits strong organizational skills, attention to detail, and sound problem-solving abilities.
  • Maintains strict confidentiality and adheres to HIPAA and UHC policies.

Duties/Responsibilities

Patient Access and Administrative Support

  • Coordinate patient scheduling, registration, appointment management, and follow-up care.
  • Ensures accuracy of patient demographic and insurance information.
  • Manages incoming calls, messages, and inquiries, routing concerns appropriately and efficiently.
  • Monitors provider schedules to support appointment optimization and continuity of care.
  • Maintains clinic records, forms, logs, and departmental documentation.
  • Assists with departmental communications, meetings, and day-to-day operational activities.

Insurance and Revenue Cycle Support

  • Verifies insurance eligibility, benefits, and authorization requirements.
  • Accurately collects and documents insurance information in accordance with departmental procedures.
  • Support billing accuracy through verification of visit and insurance information.
  • Prepare insurance and referral-related correspondence as needed.
  • Educates patients on insurance coverage and financial responsibilities.
  • Maintains and tracks insurance documentation and required reports to ensure compliance and accuracy.

Clinical Operations Support

  • Greet and assist patients, visitors, and referring providers in a professional and courteous manner.
  • Facilitates efficient clinic flow by coordinating patient movement and provider needs.
  • Maintain treatment areas, educational materials, and clinic supplies.
  • Assist providers with non-clinical tasks and patient preparation activities.
  • Supports patient safety, confidentiality, infection prevention practices, and overall clinic readiness.
  • Promote a clean, organized, and patient-centered environment.
