Job summary

Colle McVoy seeks a Business Affairs Specialist to support the production team in day-to-day business management and rights management for all content production. You will liaise with internal production, finance, and legal teams as well as external talent agencies and production companies.

You will draft and review vendor/talent/location agreements, manage contracts and rights, and maintain accurate DAM metadata. A hybrid work environment and competitive benefits are offered.

Qualifications

  • Bachelor’s degree or equivalent industry experience.
  • 2–4 years of agency, production or administrative experience.
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook.
  • Excellent attention to detail and strong organizational skills.
  • Ability to manage tight deadlines in a fast-paced agency environment.
  • Strong communication skills and collaboration with internal teams and clients.
  • Willingness to learn and adapt to new technologies and systems like AEM.

Responsibilities

  • Draft, review, and maintain vendor, talent, and location agreements in line with policy and best practices.
  • Manage talent contracting, usage rights, and payments for various content initiatives.
  • Maintain rights documentation, status reports, and monthly usage trackers across clients.
  • Support Producers through the production lifecycle including onboarding, PO creation, documentation, invoicing, and payments.
  • Collaborate with Producers to ensure contracts and rights are current and well-maintained.
  • Maintain Digital Asset Management (DAM) systems with proper metadata and organization.
  • License and manage stock assets ensuring proper usage rights and documentation.
  • Review materials with Senior Business Affairs Manager on IP considerations and risk mitigation.
  • Ensure SAG-AFTRA compliance across union/nonunion productions in partnership with Senior Business Affairs Manager.

Job Overview

The Business Affairs Specialist supports the production team in day-to-day business management and rights management for all content production including broadcast, social, photography, interactive, experiential and more. This role acts as a liaison between the internal production team, finance and legal teams along with external talent agencies and production companies.

Responsibilities
  • Draft, review, and maintain vendor, talent, and location agreements, ensuring compliance with Colle McVoy/Stagwell policies, industry standards, and best practices.
  • Manage talent contracting, usage rights, and payments across broadcast, social, influencer, and brand partnership initiatives.
  • Maintain accurate rights management documentation, status reports, and monthly usage trackers across multiple clients.
  • Support Producers throughout the production lifecycle, including vendor onboarding, purchase order creation, documentation management, invoice processing, and timely vendor payments.
  • Partner regularly with Producers to ensure production documentation, contracts, and rights information are current, complete, and properly maintained within Colle McVoy systems.
  • Maintain Digital Asset Management (DAM) systems, ensuring assets are accurately organized, tagged, and maintained with complete and accurate metadata.
  • License and manage stock assets, including video, photography, and music, ensuring appropriate usage rights and documentation.
  • Review creative materials in partnership with Senior Business Affairs Manager to advise agency teams on talent, copyright, licensing, and intellectual property considerations, proactively identifying risks and recommending solutions.
  • Navigate SAG-AFTRA requirements in partnership with Senior Business Affairs Manager across both union and nonunion productions, supporting Producers and internal teams with applicable rules, agreements, clearances, and compliance requirements.
  • Build and maintain strong working relationships with internal teams and external vendors, serving as a knowledgeable and solutions-oriented Business Affairs resource.

At the time of posting, the base salary for this position ranges from $60,000 to $70,000. Compensation will be determined based on a variety of factors, including but not limited to relevant skills, experience, and qualifications. In addition to the base salary, we offer a comprehensive benefits package, including health and wellness options, agency perks, and the flexibility of a hybrid work environment.
