Job summary

Community Access Inc. is seeking a live-in Building Superintendent to manage maintenance, repairs, and daily operations across NY properties.

You will ensure code compliance, supervise staff, respond to emergencies, and coordinate with vendors to keep buildings safe and welcoming for residents. This on-site leadership role requires hands-on trades experience (carpentry, electrical, plumbing, HVAC), strong organizational skills, and the ability to lift heavy items.

Qualifications

  • High school diploma or equivalent required.
  • At least 2 years of training or 3 years of related work experience.
  • At least 1 year supervisory experience preferred.
  • Willing to support other buildings in emergencies.
  • Willing to work overtime when approved.
  • Experience in carpentry, electrical, plumbing, masonry or painting.
  • Must have HVAC system knowledge and equipment maintenance.
  • Must be fingerprinted and cleared by NYS Justice Center.
  • Must be able to lift and carry items up to 100 lbs.
  • Certificates in fire/safety compliance within 4 months (S-95, F-01, S-12, S-13) preferred.

Job description

Community Access was founded in 1974 to provide housing and support for people being discharged from psychiatric institutions. Today, we are one of the leading providers of supportive and affordable housing in New York City, and the originators of an integrated housing model which has become a best practice nationally: affordable housing where families live alongside people living with mental health concerns. Our staff work daily to support thousands of New Yorkers through supportive and affordable housing, peer-driven residential crisis support programs, training, advocacy, supported education, mobile treatment and other healing-focused services.

Position Overview

The Property Management department acts as the managing agent for buildings that Community Access (CA) develops, owns or controls. The Property Management department is responsible for lease maintenance, rent collection, property financial reports and compliance with government regulations (such as Low-Income Housing Tax Credits, HOME, and Housing Trust Fund). The live-in Building Superintendent is responsible for providing a safe and adequate living/working environment for the residents and staff. This includes daily maintenance, repairs, and ensuring building code compliance with local, state, federal requirements, and agency policies and procedures. They also supervise the maintenance mechanic and contracted porters or maintenance worker staff.

Maintenance Work Orders:
  • High priority: 5 days
  • Low priority:30 days
  • Preventative:30 days
Apartment Turnovers:
  • Studio: 7-12 days
  • 1-bedroom: 8-13 days
  • 2-bedroom: 9-14 days
  • 3-bedroom: 10-15 days
  • Additional services (deep clean, flooring, cabinetry):
  • +14 days for 1 service
  • +28 days for 2 services
  • +42 days for 3 services
Facilities/Property Management Joint KPIs:
  • Rent collection: 95%
  • Lease renewals: 100%
  • Annual certification: 100%
  • Semi-annual apartment inspections: 95% or greater
Essential Job Functions:

Maintenance & Repairs

  • Perform routine maintenance tasks including plumbing, electrical, HVAC, carpentry, and painting.
  • Respond promptly to maintenance requests and emergency repairs.
  • Conduct regular inspections of building systems and common areas.
Work Order Management:
  • Review and prioritize incoming maintenance requests based on priority levels (life-threatening, urgent, routine).
  • Utilize Yardi and Maintenance IQ track and manage vacancy turns, major capital repairs, workflows, and inspections.
  • Assign work orders to in-house maintenance staff or external vendors using tracking tools.
  • Monitor the status of open work orders, ensuring timely completion and follow-up.
  • Assist with closing work orders, verifying task completion, and ensuring all necessary documentation is recorded.
Building Operations
  • Oversee boiler, elevator, and other mechanical systems to ensure compliance with NYC codes.
  • Maintain logs and records of inspections, repairs, and maintenance activities.
  • Coordinate with licensed vendors for specialized repairs and inspections.
Cleaning & Sanitation
  • Ensure cleanliness of common areas including lobbies, hallways, stairwells, and laundry rooms.
  • Manage garbage and recycling removal in accordance with NYC sanitation regulations.
  • Address pest control issues in collaboration with professional services.
  • Interact respectfully and professionally with residents.
  • Report tenant concerns or incidents to property management and social services staff.
  • Support move-ins and move-outs, including unit preparation and walkthroughs.
Safety & Compliance
  • Ensure building is following HPD, DOB, FDNY, and other regulatory agencies.
  • Participate in fire drills, safety inspections, and emergency preparedness planning.
  • Maintain secure access to buildings and monitor for unauthorized entry.
Vacancy and Unit Turnover Coordination:
  • Report unit vacancies to the property manager.
  • Schedule, complete, and submit move-out inspection reports within established KPI timeframes.
  • Communicate delays in unit turns, including reasons such as lead times for supplies or the severity of the unit's condition.
  • Conduct semi-annual apartment inspections.
  • Alert supportive services program and property management staff regarding poor housekeeping skills, excessive collecting behavior, or severe damage to the unit beyond normal wear and tear, missing appliances and fire safety equipment, and refusal to provide access for inspections or repairs.
  • Enter detailed information in Yardi regarding work orders related to violation repairs and/or failed HQS inspections.
  • Communicate daily with the program director regarding building issues.
  • Work collaboratively with the work order coordinator for work order reporting and procurement activities.
  • Collaborate with the Director of Operations regarding violations and vacancies.
  • Perform other duties as assigned.
  • Timely completion of mandatory trainings, as required.
  • Attend and participate in supervision, meetings and training sessions as required.
Job Qualifications
  • High school diploma or equivalent required.
  • At least two (2) years of training or three (3) years of works experience in related trade.
  • At least one (1) year of supervisory experience is preferred.
  • Willing to support other buildings in case of emergencies.
  • Willing to work overtime, when approved by Area Superintendent.
  • Must have experience in one or more of the following fields: carpentry, electrical, plumbing, masonry, painting.
  • Must have working knowledge of equipment installation and repair, including HVAC systems.
  • Must be able to operate and maintain appropriate machines such as floor buffer, trash compactor, snow blowers, etc.
  • Must be fingerprinted and cleared by the New York State Justice Center.
  • Must be able to regularly lift and carry items which weigh up to 100 lbs.
  • Must possess and maintain the following Certificates or achieve within 4 months of employment: Supervision of Fire Alarm Systems, S-95; Citywide Fire Guard for Impairment, F-01; Citywide Sprinkler Systems, S-12; and Citywide Standpipe Systems, S-13.
