The Fortune Society, Inc. in Queens, NY, is seeking a Budget & Reporting Specialist to join the Finance Team. You will develop and maintain operating budgets across administrative and program functions, generate regular budget variance reports, and create KPI scorecards to monitor contract parameters.

Collaboration with Leadership, Grants, Program and HR teams will be essential as you support RFP processes and HR staffing tracking. This exempt, full-time role offers a stable 35-hour week.

The organization has evolved into one of the nation’s preeminent reentry and justice-informed service organizations, providing formerly incarcerated people with the skills and wrap-around services needed to break the cycle of crime and incarceration and to build productive lives in their communities.Fortune has grown steadily over the years to an agency with over $90 million in annual budget with approximately 600 staff. We anticipate that we will keep growing, both in size and depth of service. Fortune has a dual mission: both advocacy and service. The advocacy portion of our mission focuses on building a more just criminal legal system and reducing the barriers to reentry into society. The service side of Fortune has evolved to encompass a broad range of programs that started with employment and education and now includes a robust array of services, among them: alternatives to incarceration, supervised release, court advocacy, discharge planning within correctional facilities, licensed substance use and mental health treatment, a housing continuum ranging from emergency and transitional through permanent congregate and scattered site housing, assistance in obtaining benefits, a care management unit, HIV services, a food and nutrition program, and an arts program. Each service we provide is informed by the needs of the population we serve. Fortune currently serves approximately 18,000 people a year. We have locations in Brooklyn, The Bronx, Manhattan and Queens.Position Summary:The Budget and Reporting Specialist will be a key member of the Finance Team focusing on several important functions including, but not limited to:Develop and maintain operating budgets for all Administrative and Program functions across the OrganizationCollaborate with Leadership to monitor the financial position of departments (e.g. P&L’s, variance reporting, etc.)Create reporting tools (e.g. scorecards, KPI’s, etc.) to allow department leaders to manage their operations relative to contract parameters and/or internal goalsPartner with Grants, Program and Development teams to facilitate the RFP processWork with Human Resources to track positions/headcountProvide support to general finance functionsCore Competencies:Mission and Fit: Embodies Fortune’s mission and values and will be an effective member of the team in furthering both. Excellent communication skills.Essential Duties and Responsibilities:Financial ReportingServe as business liaison between Finance and Fortune Society ManagementWork with Leadership to develop annual budgets for Administrative Functions including Executive Office, Human Resources, Facilities, IT, Communications & Development, and FinanceGenerate and distribute regular (typically monthly) Budget Variance and General Ledger Reports organization-wideWork with business units to ensure financial goals are being metGenerate ad hoc reports as requested by Program and Administrative Leadership.Set up regular meetings with Program and Administrative Management to review financial reports. attend meetings, keep notes and provide follow-up from meetingsInformation & ReportingMaintain master contract list of active contractsWhen Fortune is awarded new grants, work with Program and other areas to facilitate smooth rollouts:Update master contract listGenerate program codesOpen new positions in Finance and HR systems (currently FUND EZ and PayCom)Generate regular updates to Finance Reports – currently including Position Control and Employee Allocation reportsWorking with Finance Management, create and maintain scorecards/KPIs for contract management – invoicing, receivables, etc.Request for Proposal (RFP) Financial SupportHandle general RFP requests. Provide back up and support to Budget Director for complex casesWorking with Development and Program, create basic budgets for RFPs through an iterative RFP process. The RFPs can be for new grants or renewals. Review and understand the RFP financial requirements and/or limitations. Research city, state and federal guidelines when needed. Provide feedback on alternativesManage Private Foundation GrantsMaintain the list of private foundation grants. Keep a calendar of new grant and renewal RFP production, as well as reporting requirements. This work is generally done on a tight scheduleMaintain list of private and foundation grants that require invoicing. Generate invoices as neededWork with Program to ensure renewal budgets are up-to-date and have been entered into the financial system (currently FUND EZ)HR LiaisonMonitor staffing levels across agency to ensure consistency with plan.Provide back-up to Budget Director with HR approvals for Requisitions, PAFs, promotions, transfers etc.Meet regularly with HR to work through open issuesProjectsProvide backup for FUND EZ conversion to Sage IntacctAttend weekly meetings and collaborate with Budget Director on follow ups and to-dosProvide support for annual budget development processPerform other duties as assignedQualifications:Bachelors Degree in finance or related experience preferred.We seek talented, dedicated individuals from all walks of life who possess a strong commitment to this mission.
