Job description

The Budget Coordinator serves as a key financial steward, responsible for directing and maintaining the day to day fiscaloperations of the School of Aeronautics. This position works incoordination with the Provost Office Budget Manager and external partners, including Freedom Aviation, to ensure accurate processingof financial transactions, budget monitoring, and compliance with university policies and procedures. The role provides direct financial support for the School of Aeronautics aircraft fleet, including tracking high-volume operational expenses, invoices, and purchasing card activity associated with fleet maintenance, fuel, parts, and services.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Process requisitions, purchase orders, and other financialtransactions in the university procurement system.
  • Monitor requisition workflow and coordinate approvals ensuringtimely processing.
  • Maintain accurate budget records and track expenditures acrossmultiple accounts and funding sources.
  • Track and reconcile aircraft fleet-related expenses, includingmaintenance, fuel, parts, and vendor services.
  • Review and reconcile purchasing card transactions related tofleet operations.
  • Assist in the reconciliation of accounts on a regular basis toensure accuracy and completeness, supporting monthly, quarterly,and annual budget review processes.
  • Coordinate with internal departments and external vendorsregarding purchasing, invoicing, and payment inquiries.
  • Ensure compliance with Liberty University financial policies,procedures, and audit requirements.
  • Maintain organized records of financial transactions andsupporting documentation.
  • Assist with resolving discrepancies in budget activity,invoices, or account balances.
  • Provide general support and guidance to faculty and staffregarding budget and procurement processes.
  • Participate in budget planning, forecasting, and reportingactivities as assigned.
  • Other duties as assigned to support Flight OperationsCoordinator
  • Strictly adheres to Liberty University policies, representingthe University in an exemplary manner.

QUALIFICATIONS AND CREDENTIALS
Education and Experience
Minimum Qualifications
  • Bachelor’s degree in Business, Finance, Accounting, or arelated field, or equivalent combination of education andexperience.
  • Strong organizational skills with attention to detail andaccuracy.
  • Ability to manage multiple tasks and meet deadlines in afast-paced environment.
  • Proficiency with Microsoft Office applications, particularlyExcel.
  • Effective written and verbal communication skills.
Preferred Qualifications
  • Experience with enterprise financial systems (e.g., BuyLU, orsimilar).
  • 2 - 4 years of prior experience in higher education or arelated administrative environment.
  • Familiarity with budget management and financial reportingprocesses.

Proof of a validdriver’s license, an acceptable DMV record, LU Driving Approval,and liability insurance is required when driving in the performanceof the employee’s position.

Compensation is determined based on factors such as qualifications,experience, education, skills, and certifications, along withUniversity needs and external market conditions. Market benchmarksmay be used, as appropriate, in combination with internal equity toensure pay is fair and aligned with the broader compensationstructure.
