Job summary

Northwest Landscape Services is seeking a Branch Administrator/Service & Operations Support in Washington. The role serves as the first contact for client inquiries, executing administrative tasks and tracking issues to resolution with high attention to detail.

Responsibilities include ERP data entry, Proposal creation, and coordinating with operations to ensure timely service delivery. Requires 2–4 years of related experience and a valid driver’s license, with bilingual English/Spanish

  • 2-4 years related work experience.
  • Bi-lingual English/Spanish required; strong customer service.

Responsibilities

  • Answer client customer service line, determine nature of requests, enter into ERP and track to completion.
  • Follow up on client requests with operations.
  • Create basic proposals and seasonal proposals for clients.
  • Prepare bids for common landscape services.
  • Review reports and job data for discrepancies and share findings.

JOB SUMMARY

Responsible for the accurate and timely execution of administrative functions. Serve as first point of contact for client inquiries and requests, and track issues to resolution. Provide general administrative duties in support of an outstanding client service experience.


MINIMUM QUALIFICATIONS: Education

  • High School diploma or equivalent

Experience

  • 2-4 years related work experience

License or Certification

  • Valid Driver’s License

  • Bi-lingual English/Spanish required, including ability to read, interpret and translate documents and make verbal presentations

  • Strong internal and external customer service

  • Ability to demonstrate a positive professional demeanor and contribute to a culture of excellence

  • Proven track record of very high attention to detail and organization

ESSENTIAL DUTIES

Service & Operations Support



  • Promptly and professionally answer client customer service line Determine nature of client requests, enter into ERP, assign to appropriate department/manager, and track to completion

  • Regular and timely follow up on client requests with operations

  • Basic proposal creation

  • Create and send seasonal proposals to clients

  • Accurately prepare bids for common, straightforward landscape value added services

  • Analyze reports and job data for discrepancies or issues and share findings with ROM

  • Process and review accepted work orders for accuracy of billing and description information into ERP and accounting system

  • Timely and accurate processing of non-recurring accounts receivable invoicing as needed


Office Administrations


  • Assist with office operations, workflow and procedures

  • Monitor the inventory of, and requests for office supplies/PPE and complete online ordering

  • Manage project-based work, follow-up, and report results

  • Keep management informed by reviewing and analyzing special reports, compiling information and identifying trends

  • Responsible for complying with and meeting all company driven deadlines

  • Maintain and protect sensitive company data by adhering to internal security controls

  • Purchase order management

  • Timecard entry


Human Resource Responsibilities


  • Have a working knowledge of the company Employee Handbook and be able to answer general questions from employees

  • Time entry, payroll validation, missed and final pay coordination

  • Assist with annual open enrollment and HR initiatives

  • Assist in on-boarding, orientation and off-boarding of employees

  • Assist with recruitment of field personnel

  • IT liaison for staff equipment and technology needs

  • Maintain a good understanding of local unions

  • Assist with background checks

  • Assist with safety training and record retention

  • Assist with audits

  • Maintain records and report incidents and injures including workers compensation claims

  • Other duties as assigned.

  • All other duties as assigned.
