Job description

Civil Service Title: Administrative Manager N/M

In order to be considered for this position: Candidate must be serving permanently in the title of Administrative Manager, be reachable on the promotional list (Exam #1552), or be eligible under the 55-A Program. Please indicate this on your resume.

Responsibilities
  1. Perform special and related projects as requested by the Director or Executive Director.
  2. Under direction, perform difficult and responsible administrative work for the Bridge Repair Unit, with some independence for decision-making.
  3. Assist in preparing various reports, including Budget, Fiscal, and inventory reports.
  4. Oversee daily activities of office staff, review source documents, data collection, entry, retrieval, and prepare routine reports ensuring accuracy and timeliness.
  5. Administer contract employees performing cleaning services at two Bridge Repair facilities.
  6. Prepare reports, letters, memos, and other correspondence for the Unit.
  7. Supervise purchase requisitions for equipment, safety, and supplies.
  8. Track personnel changes, vacancies, and staffing levels; prepare justifications for personnel actions.
  9. Assist with budget tracking and justification.
Preferred Skills

Proficiency in all Microsoft applications; ability to work independently and handle multiple tasks concurrently.

Minimum Qualifications

  3. High school diploma and six years of similar experience, including 18 months supervisory.
  4. Equivalent education and experience, with at least 18 months in a supervisory role.
