DES includes the Office of Undergraduate Admission, Office of Student Financial Services, Office of the University Registrar, and The International Student and Scholar Services.
About the Position:
This role is an on-campus, in-person position.
DES seeks a professional who can carry out the duties of the Blanton Building Manager. Blanton is the primary student service building for the university and is critical to welcoming future students and their families and serving current students. In addition, the Blanton Building houses other offices that provide essential services to students, including the Office of Student Success, University Advising, and Office of Information Technology. The Blanton Building Operations Manager coordinates facilities maintenance, custodial service, communication and escalation of facilities issues, emergency management, building security, and occasional event support. This position works with the Division of Enrollment Services Administrative Assistants, who support DES’s Executive Directors and are part of the DES operations team. In collaboration with key building partners, the manager and the DES operations team will report issues and ensure that facilities and custodial work orders have been completed. The successful candidate will have an excellent ability to prioritize and multitask and demonstrate excellent communication skills. Because this is a large building with many occupants that serve students, faculty, and staff, the Building Operations Manager will work to streamline processes and propose improvements to building spaces.
Essential Functions:
Responsible for building maintenance and custodial issues for the Blanton building complex: Serves as liaison between Facilities & building occupants. Documents (daily walk through), troubleshoots, and escalates recurring problems, plans preventive maintenance, schedules work, and regularly communicates with the Executive Director about issues that need to be prioritized to find resolution.
Manages STABLE reservations for the Blanton meeting and conference rooms, approves reservations, and communicates with event coordinators to ensure needs are met. Assists with planning, setup, and communication with event coordinators.
Execute all daily tasks, including meeting room set-up and twice-a-day building walk-throughs, and provide daily updates with outstanding tickets submitted to facilities, OIT, or other offices. Supervise student workers. Order supplies weekly in coordination with DES operation teams and building partners.
Space management planning for the Blanton building complex includes office moves, furniture inventory management, maintenance and improvements to meeting rooms and other public spaces, space inventory for a website, and communicating construction updates.
Building security and access. Coordinate with DES operations and building partners to grant CCURE access for current/new staff throughout the year. Schedules CCURE card swipe schedule throughout the year. Troubleshoots building access issues. Coordinates with SMU PD to secure the building during breaks and emergency closures.
Leads the Blanton Building Emergency Team to ensure training for the team for building evacuations. Schedules regular training for all Blanton staff on emergency procedures. Updates the Blanton Library Building Emergency Plan.
Project management/Special projects: Coordinates special projects such as those that arise from customer service feedback, updates to unexpected emergencies, or those at the request of the Executive Director. Leads efforts to building renovation.
Maintains knowledge of communication channels with Facilities. Provides support for new staff on using STABLE. Shares communication channels for assistance from custodial services, recycling, and facilities contractors.
Communicate regularly with other building managers to streamline processes for better use of time and manpower and to share information about facilities work to improve building operations.
Education and Experience:
High school diploma is required. Associate's degree is preferred.
A minimum of two (2) years of experience is required.
Experience managing simple and complex projects is required.
Experience in public-service and/or libraries is preferred.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.
Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.
Candidate must be proficient in Word, Excel, Teams and remote meeting software such as Zoom.
Experience with the STABLE work request system is preferred.
Candidates with the ability to organize information logically, specifically in shared storage systems is preferred.
