The Biologics Coordinator Assistant supports the management and coordination of biologic therapies for patients. This role involves handling administrative tasks, maintaining accurate documentation, managing inventory, and facilitating effective communication among patients, clinics, pharmacies, and insurance providers.
DUTIES/RESPONSIBILITIES:
• Initiate and manage biologics processes by handling paperwork for patients and clinics, and submitting applications to the appropriate channels.
• Maintain organized documentation, including current authorizations for biologics patients, utilizing spreadsheets.
• Assist in the implementation of biologic therapies for patients, ensuring a smooth transition into treatment.
• Communicate effectively with patients about the biologics process, requirements, and provide ongoing support.
• Schedule appointments for new biologic treatments, discuss copays (excluding Dupixent), and obtain necessary consents.
• Receive, log, track, and manage the inventory of biologics medication for all SPN sites, ensuring accurate data entry into the Rosch system.
• Coordinate the weekly distribution and delivery of medication to all locations, ensuring timely access to treatment.
• Engage with patients, clinics, and pharmacies to provide updates on medication status and address inquiries.
• Collaborate with relevant parties regarding patient cases, prescription clarifications, and assist with appeals or peer-to-peer appointments with insurance providers.
• Manage insurance information and process biologic prescriptions, including refills for SPN patients.
• Initiate the insurance approval process when the standard billing system isn't available and request additional medical records as needed.
• Process daily billing using the appropriate system and check faxes for clinics in multiple locations.
• Attend monthly meetings with Healix and Field Reimbursement to stay informed on policies and procedures.
• Distribute training materials and new forms to clinics, and communicate with cardiologists regarding patient status and scheduling.
• Utilize required technology and programs proficiently, including the IMS system for billing and inventory management.
• Perform other duties as necessary or assigned.

• Strong written and verbal communication for effective interaction with patients, clinics, and colleagues.
• Familiarity with biologic agents, processes, insurance requirements, and healthcare standards.
• Demonstrates empathy and support in interactions with patients and co-workers.
• Strong time management and prioritization abilities with attention to detail.
• Understanding of health and safety standards, HIPAA regulations, and medical terminology.
• Competence in utilizing required technology and computer systems.
• Ability to address patient inquiries and logistical challenges effectively.
• Capacity to work well in a team environment and adapt to changing priorities.
• Commitment to providing outstanding patient support while maintaining professionalism in high-pressure situations.
• Familiarity with prior authorization processes for medications and basic insurance protocols.
• Ability to transition from sitting to standing position to perform required tasks.
• Requires sufficient hand-eye coordination and manual dexterity to operate office equipment effectively.
• Ability to communicate effectively, both audibly and visually, using various communication software and electronic devices.
PHYSICAL REQUIREMENTS:
• Ability to sit for prolonged periods while working at a desk and using a computer.
• Ability to bend, kneel, crouch, and stand, with the capability to lift items up to 25 lbs. as needed.
