Position Overview
As a Billing Specialist with Stokes Creative Group, you will manage client billing processes for construction projects. You will play a critical role in maintaining the fiscal integrity of our projects by processing AIA billing documents, adhering to cost-plus accounting best practices, and collaborating with internal and external stakeholders to ensure streamlined communication and accuracy.
Key Responsibilities

• Prepare, review, and submit AIA progress billing applications and supporting documentation
• Manage cost-plus billing using detailed spreadsheets and accounting tools
• Communicate directly with clients regarding billing matters and resolve discrepancies professionally
• Utilize QuickBooks or similar software for accurate account tracking
• Generate, analyze, and reconcile Excel reports to ensure billing accuracy and transparency
• Maintain organized and up-to-date billing records for compliance and auditing purposes
• Adapt to shifting deadlines, prioritizing responsibilities efficiently

Minimum Qualifications

• 5+ years of AIA billing experience within the construction sector
• Proficient in QuickBooks or comparable accounting software
• Strong experience in cost-plus accounting practices
• Exceptional attention to detail and organizational skills
• Excellent written and verbal communication skills
• Advanced knowledge of MS Office Suite (Word, Excel, Outlook)
• Demonstrated ability to work independently and as a proactive self-starter
• Proven accuracy and consistency in billing tasks
• Ability to meet deadlines and handle pressure in a fast-paced environment
• Professionalism in direct client interactions

Compensation & Location

• Salaried position: $50,000–$65,000 (commensurate with experience)
• In-office role: Mt. Laurel, New Jersey
