We are looking for a detail-oriented Billing & Operations Associate to own our quarterly billing cycle and the client data that supports it. This is a high-ownership role at the center of how the firm gets paid and how client data stays accurate, freeing our investment and client service teams to focus on portfolio management and client relationships.
You will report to the Partner in charge of Operations and work alongside our operations team. This position is a defined step toward a Senior Operations role at the firm. It is a full-time, on-site position based in our Reston, Virginia office.
What You'll Do:
- Quarterly Billing — Own the end-to-end quarterly cycle: preparing and auditing billing data, reviewing accounts and fee calculations for accuracy before bills go out, producing and distributing client billing reports, and collecting fees through custodians and internal cash management. Complete each cycle with a full reconciliation.
- Ongoing Billing Activities — Manage billing activity that falls outside the quarterly cycle, including onboarding new clients and accounts onto the billing system and processing terminations and final bills in coordination with the client service team.
- Data Management in Orion and Salesforce — Maintain accurate household, account, and fee data across Orion and Salesforce, keeping the two systems aligned so that billing, client reporting, and the portfolio management system all run on reliable information.
- Ad-Hoc Projects — Partner with the client service and investment teams to fulfill data extraction, reporting, and related requests from Orion and Salesforce as they arise. Contribute to process improvement and special projects as the firm's operations and technology evolve, including evaluating, testing, and adopting new tools as they are introduced.
The role follows a quarterly rhythm, and billing periods are naturally busier than the weeks between them. Staying on top of the underlying data and processes throughout the quarter is what keeps those periods manageable, and it is how we expect the role to be worked.
What We're Looking For:
Required
- 2+ years of experience in billing, accounting, or operations, ideally at an RIA, broker‑dealer, or other financial services firm
- Advanced Excel skills, with comfort working across large data sets, reconciliations, and reporting
- Hands-on experience with a portfolio accounting or reporting platform and a CRM
- Demonstrated ability to learn new systems quickly and adapt as our technology stack evolves
- High attention to detail and comfort being accountable for processes that touch client money
- Ability to manage a recurring, deadline-driven cycle independently
- Clear written communication for client-facing billing correspondence
Preferred
- Direct experience with Orion and Salesforce
- Familiarity with custodial platforms such as Schwab

Cash Compensation
- Starting base salary: $70,000–$85,000, depending on experience
- Cash bonus of up to 30% of base salary, based on performance and company profitability, paid quarterly on the amount earned
- Total first-year cash compensation of up to $91,000–$110,500 at full bonus
