  • Verify required contracts, W-9s, insurance certificates, and bond documentation are complete before initial payments are issued.

  • Review upcoming draw payouts for missing documentation and proactively follow up with subcontractors and vendors.

  • Maintain required vendor documentation, including W-9s and applicable certificates of insurance.

  • Coordinate with title companies to ensure required sworn statements, company waivers, and subcontractor/supplier waivers are received so project funding can be released timely.

  • Prepare and distribute lien waivers associated with monthly payments.

  • Provide required lien waiver documentation to title companies and follow up on outstanding items.

  • Obtain second-tier subcontractor and supplier waivers and supplier affidavits as required.

Project Closeout

  • Coordinate collection and verification of required project closeout documentation.

  • Track final lien waivers, second-tier affidavits and waivers, warranty information, and operations and maintenance (O&M) documentation.
