We are seeking a detail-oriented and proactive Billing Analyst to handle the end-to-end invoicing process within a fast-paced, service-based environment. This role requires strong organizational skills, expertise in time and materials billing, and the ability to deliver exceptional customer service. The Billing Analyst will collaborate with office, warehouse, and field teams to ensure accurate billing, smooth operations, and timely collections.

What you will do:
- Generate and issue accurate invoices based on time and materials billing, verifying all required documentation including service orders, purchase orders, and contracts
- Review service orders and agreements to confirm accuracy and resolve discrepancies promptly
- Collaborate with field technicians and service managers to verify service completion, finalize job closures, and ensure billing accuracy
- Respond professionally to customer inquiries regarding invoices, payments, and service details
- Enter billing data accurately and maintain organized records of transactions and correspondence
- Assist in preparing internal billing reports highlighting outstanding balances and billing trends
- Support internal and external audits by maintaining complete and accessible billing documentation
- Ensure compliance with company policies and procedures
- Work closely with office, warehouse, and field teams to maintain a seamless service-to-invoice workflow
- Perform additional duties as assigned
What you bring:
- Minimum of 5 years' billing experience within a service-based or field services environment
- Strong knowledge of time and materials billing practices
- Proficiency with billing and accounting software
- Intermediate skills in Microsoft Office, particularly Excel and Outlook
- Strong customer service and communication skills, with a focus on client satisfaction and issue resolution
- Excellent verbal and written communication skills with strong attention to detail in reviewing and editing billing documentation for accuracy, clarity, and compliance
- Strong attention to detail and organizational skills
- Ability to use critical thinking to identify and resolve billing discrepancies
- Ability to work independently and collaboratively in a fast-paced environment
Education
- High school diploma or equivalent required
