Summary: The Medical Receptionist is a crucial role to the operations of Preventive Measures, LLC. The Medical Receptionist will report to the Medical Administrator and the Program Director. You will not only complete Medical Department duties but will also assist with the Front Desk.

Reports to: The Medical Administrator for medical shifts and any medical issues and the Program Director for the front desk shifts.

Interrelationship: Must always be able to multi-task and maintain professional conduct. Applicant must be detailed oriented, highly organized, and results driven. Ability to deal effectively with a diversity of individuals at all organizational levels. Commitment to excellence and high standards. Ability to work independently and as a member of various teams and committees.

Primary Job Responsibilities

  • Collect, file, and maintain Medical Records weekly
  • Triage Patients for medical appointments
  • Greet and attend to patients in person and over the phone.
  • Professionally assist doctors, staff, visitors, and patients.
  • Maintain business inventory such as checking supplies and informing management of any necessary equipment repairs.
  • Answer all phone calls in a professional and courteous manner.
  • Perform all duties within HIPAA regulations.
  • Maintain confidentiality of all doctor, staff, and patient information.
  • Schedule appointments between doctors and patients.
  • Liaise between the administrative, clinical, and medical departments with discretion and professionalism
  • Adhere to policy and procedures during all activities.
  • Communicate medical results to patients under clinical supervision.
  • Complete accurate documentation of patient visits
  • Continue performing front desk duties
  • Filling in for the Medical Assistant as needed
  • Complete metabolics, coordination of care with PCP’s, order and retain lab results for the clients
  • Managing and checking for Prior Authorizations, as well as completing the Pennsylvania Prescription screening
  • Prepare charts for medical shifts, gather discharge paperwork, communication from other providers including PCP’s, neurologists, DNA, treatment centers, etc.
  • Complete administrative quality check for medical staff documentation (time in, time out, signed, each section complete).
  • Complete charge slips for all medical shifts.
  • Completing all other duties assigned within reason, based on the needs of the company.
  • Complete translations for medical providers as well as for the front desk calls.

Job Specifications:

  • High School diploma or GED, required. Medical Assistant or Medical certification preferred not required.
  • Experience in related field, preferred.
  • Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
  • Proficiency with computers, especially MS Office.
