Job summary

Momentum Spine and Joint is seeking a full-time Bilingual Medical Receptionist to join our team in Arlington, TX. The ideal candidate greets patients, schedules appointments, handles clerical tasks, and supports billing and insurance processes with a professional, patient-focused approach.

You will manage patient forms and records, maintain a courteous front desk, and assist clinical staff as needed while upholding HIPAA standards and confidentiality.

Qualifications

  • High School diploma or GED required.
  • At least 1 year of customer service experience.
  • Must be bilingual in English/Spanish.
  • Valid Texas driver’s license preferred for occasional travel.

Responsibilities

  • Greet patients and visitors professionally and provide information.
  • Schedule and manage patient appointments.
  • Assist patients with forms and documentation; update demographics.
  • Maintain patient records and billing information in the EMR system.
  • Answer calls, transfer to appropriate staff, and send faxes/emails as needed.
  • Protect patient privacy and HIPAA compliance at all times.

Job description

Momentum Spine and Joint is looking for a full-time Bilingual Medical Receptionist to join our team!

SUMMARY

The Medical Receptionist’s work encompasses many tasks such as greeting patients, scheduling appointments, performing clerical duties, managing insurance and billing and providing medical procedural support. Exhibits professionalism at all times while answering inquiries and providing information to the general public, visitors, patients, and other interested parties regarding activities conducted at establishment and location of departments, offices, and employees within the organization. Supports medical staff by completing administrative requirements as assigned.

ESSENTIAL FUNCTIONS
  • Demonstrates Customer Service Standards (smiles and makes eye contact, greets each patient and visitor, seeks out patient and visitor contact, displays appropriate body language at all times, take 5 minutes each day to go above and beyond for one patient or visitor, honor diversity and thanks each customer/patient)
  • Greet patients as they arrive at the facility and provide them with appropriate information
  • Assist patients to complete all necessary forms and documentation
  • Ensure completeness and accuracy of patients’ forms and logs all demographics in EMR system
  • Update patients’ information into database
  • Move patients through appointments as scheduled. Keep patient appointments on schedule by notifying provider of patient’s arrival
  • Respond and comply to requests for information including sending faxes and e-mails
  • Answer telephone and deal with inquiries
  • Transfer calls as required
  • Direct calls and messages to appropriate medical office staff
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information into e-clinical
  • Obtains revenue by recording and updating financial information, recording and collecting patient charges
  • Call patients and remind them of their appointments
  • Keeps patients’ family’s informed of patient status
  • Schedule and reschedule patients’ appointments
  • Update appointment calendars
  • Creates and labels appropriate charts for patient’s
  • Manage filing and record keeping activities
  • Report statistics as required
  • Coordinates mail flow in and out of office
  • Maintain stock of forms and office supplies
  • Ensure reception area is well maintained, neat and clean, including the magazines
  • Follows all safety rules on the job. Reports all accidents promptly and corrects minor safety hazards. Communicates with peers and management regarding any hazards identified in the workplace
  • Uses downtime efficiently, aware of team members workload and constantly offers assistance and responds positively to requests for assistance from other team members
  • Protects patient and family privacy rights and maintains confidentiality of patient records in accordance to policy and procedure and HIPAA requirements
  • Adheres to the company standards of business conduct
  • Performs other duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology
  • Knowledge of computer and relevant software applications
  • Strong computer skills with proficiency in Microsoft Office, including Outlook, Excel, and Word
  • Strong attention to detail: being careful about detail and thorough in completing work tasks
  • Has self-control to maintain composure, keeping emotions in check, controlling anger, and avoiding aggressive behavior, even in difficult situations
  • High stress tolerance: accepting criticism and dealing calmly and effectively with high stress situations
  • Ability to adapt with flexibility: being open to change (positive or negative) and to considerable variety in the workplace
  • Ability to work independently by guiding oneself with little or no supervision and depending one oneself to get things done
  • Ability to maintain effective and organized systems to ensure timely patient flow
  • Must be able to multi-task while on the job
  • Must be task-oriented and have organizational skills
  • Excellent, polished patient interaction skills. Ability to communicate professionally with patients
  • Exceptional customer service and phone etiquette
  • Energetic with a desire to learn and develop new skills
  • Ability to travel between facilities if necessary
EDUCATION AND EXPERIENCE
  • High School diploma or GED
  • One (1) year of experience with customer service
  • Valid Texas Driver’s License
