Job description

Are you looking to grow your career in a supportive, mission-driven law firm? As a Legal Assistant at our firm, you’ll be the first point of contact for clients, helping guide them through important life transitions in immigration and family law. You’ll work closely with experienced Paralegals and Attorneys in a collaborative “pod” structure designed to help you succeed. In this role, you’ll organize client documents, assist with administrative filings, and play a key part in keeping cases on track. We’re looking for someone who is bilingual (Spanish-English), detail-oriented, and passionate about providing excellent service. If you’re ready to be part of a team that values communication, growth, and making a real difference in clients’ lives, we’d love to meet you.

Responsibilities:
  1. Client Communication & Case Coordination
    • Act as the first point of contact for routine client communications, scheduling, and status updates.
    • Send and track completion of client questionnaires, checklists, and document requests.
    • Escalate complex client questions or legal issues immediately to the assigned Paralegal.
  2. Document Management
    • Collect, organize, and label client documents for case files.
    • Upload documents and update client records in Monday.com and Docketwise.
    • Monitor task completion and follow up on missing information or deadlines.
  3. Administrative Support
    • Prepare administrative forms (e.g., FOIA requests, G-28 forms for client signature, AR-11 address updates) using firm templates.
    • Assemble filing packets under the direction of the Paralegal, ensuring all materials are gathered and organized.
    • Assist with administrative filing, copying, and mailing as needed.
  4. Team Collaboration
    • Support the Paralegal and Managing Paralegal by providing organized, complete case materials.
    • Participate in pod meetings and contribute to case status updates.
    • Maintain professionalism and confidentiality when interacting with clients and internal team members.
Qualifications:
  • Bilingual (Spanish-English) required.
  • Previous administrative, legal assistant, or customer service experience preferred.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and commitment to following procedures.
  • Comfort working with technology, including CRM platforms and case management software (experience with Monday.com and Docketwise is a plus).
