Position Summary

The Bilingual Administrative Assistant (AA) to the Asbury Latino Center creates a hospitable and welcoming bilingual presence both virtually and on campus while providing detail-oriented administrative support to ensure the timely fulfillment of the ALC's essential tasks. The AA anticipates the needs of bilingual faculty, students, and learners, offering timely support and solutions. Collaborating in the success of the Institutos de Asbury (aka CFMT Spanish), the AA coordinates the CFMT Spanish program, supporting learners and instructors through effective communication, registration, technological support, and course management in Canvas Catalog.

Essential Functions

  • Bilingual Communications: Handle, route, and respond to correspondence for and on behalf of the ALC and the EDAA.
  • Office Management: Serve as liaison with other departments, develop new processes to improve workflow.
  • Meeting Coordination: Schedule meetings, reserve facilities, coordinate publicity and setup for events.
  • Scheduling: Verify/update bilingual course offerings, monitor enrollments, process contracts and payments.
  • Faculty/Instructor Support: Support faculty with clerical tasks, proofreading, and editing as needed.
  • Serve as liaison between ALC and other departments of Asbury Seminary.
  • Reports: Generate reports on courses, faculty, and students.
  • Budget: Assist in budget development, review reports, process departmental requests.
  • Coordinate promotion and social media in Spanish, and maintain the ALC webpage.

Specific to Institutos de Asbury (CFMT Spanish)

  • Coordinate course scheduling and build course shells in Canvas Catalog.
  • Support admissions, registration, and payments processes.
  • Work with faculty and instructors on course design and delivery.
  • Other duties as assigned.

Qualifications

  • Bachelor’s Degree required; theological education preferred.
  • Fluent in Spanish and English, including writing and editing.
  • Strong administrative and problem-solving skills, ability to work independently.
  • Confidentiality and proficiency with office software, including Adobe, MS Office.
  • Active personal faith aligned with Asbury Seminary’s ethos.
