Grace M. Williams CPA, P.C. is a firm located in Norcross, Georgia, serving both individual and corporate clients with high standards of service, professionalism, and financial insight.

We are currently seeking amotivated, detail-oriented, and client-focused Bilingual Administrative Assistantto join our front office team. In this role, you will serve as thefirst point of contactfor clients and visitors, while also supporting the intake and administrative functions of the firm.

This is an excellent opportunity for arecent graduate in Business Administrationor a related field to gainreal-world experience in a professional, accounting-focused environment.

Responsibilities

  • Greet and assist new clients both in person and over the phone; provide basic information and direct them to the appropriate team member.
  • Manage and update social media accounts (Facebook, Instagram, etc.) to promote services and increase engagement.
  • Capture photos, videos, and stories at events to promote our mission.
  • Ensure brand consistency across all communication channels.
  • Answer incoming phone calls, take messages, and manage appointment scheduling.
  • Provide general support to accountants, including photocopying, scanning, and organizing documents.
  • Welcome clients upon arrival and maintain a professional front desk presence.
  • Assist with daily office operations such as document filing, coordinating deliveries, and other administrative tasks.
  • Maintain and manage physical and digital records and files.
  • Assist with special projects and events as directed.

Client Intake & CRM Support

  • Serve as the primary contact for inbound client inquiries via phone, email, and web.
  • Conduct intake interviews using internal scripts to gather relevant financial information.
  • Classify leads (individual vs. corporate, income tiers, service type) and determine next steps.
  • Manage the client pipeline using our CRM system (we provide training).
  • Explain available service packages and walk clients through expectations, pricing, and benefits.
  • Coordinate with the administrative team to ensure timely contract delivery and service activation.

Requirements

  • Bachelor’s degree in Business Administration, Accounting, or a related field (completed).
  • Strong verbal and written communication skills in English and Spanish.
  • High level of confidentiality, professionalism, and independence in problem-solving
  • Basic understanding of accounting and tax-related documents (EIN, 1099, W-2, etc.).
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
  • Excellent organizational skills and the ability to manage multiple priorities.
  • Friendly, service-oriented attitude and professional demeanor.
  • Ability to work independently and take initiative when needed.
