Bilingual Administrative Assistant (Administrative)

LifeWorks ofAustin, TXis looking for a part-time bilingual Administrative Assistant to join our Administrative Services team! The Administrative Assistant supports both the agency and various programs by managing the client flow. This is achieved by use of multiple means of communication to connect with staff and clients which may include hard/softphones, email, instant messaging, and video conferencing. The role supports departmental management and staff with administrative and program support functions.

This position earns a competitive starting rate of $22.00/hr. Benefits are also included, which consist of 24 PTO days per year (accrued); 11 paid holidays per year; a premium-free employee medical plan with $100 per month HSA contribution (plus other affordable employee or family medical, dental, and vision options!); a retirement savings plan with 50% match on the first 6% of contributions, and much more!

RESPONSIBILITIES

  • Manages Agency's front office traffic by greeting and assisting incoming visitors and callers and delivering consistent high quality customer service.
  • Answers and assesses incoming calls for crisis and/or program service requests to route appropriately.
  • Assesses for escalated or crisis situations and follows protocol to alert proper response staff; maintains composure in heightened situations.
  • Verifies and creates data base records utilizing CRM.
  • Maintains check-in and check-out process for clients, visitors, and vendors.
  • Performs daily data entry into external state database to maintain compliance with program contract requirements.
  • Processes client payments by receiving and posting payments to the appropriate client records and creating transactions in the database.
  • Maintains and archives digital and hardcopy client service files.
  • Sorts and distributes all incoming LifeWorks mail on a daily basis.
  • Reviews and confirms end of shift payment transactions to complete cash daily transmittals.
  • Follows open and closing procedures as scheduled.
  • Attends weekly shift check-in meetings and incorporate updates to shift process.
  • Maintains upkeep of office supplies.
  • Maintains and restocks common break areas, lobby area, file rooms, and conference rooms.
  • Troubleshoots issues with copiers, scanners, and postage meters.

QUALIFICATIONS

  • Requires a high school diploma or equivalent;
  • Requires 2 years of related administrative experience; or
  • Equivalent combination of education and experience.
  • Proficient in Microsoft Office including Excel, Word, Outlook, Teams, and D365.
  • Bilingual in English and Spanish.
