Job summary

HDR is seeking a Benefits Assistant to support our U.S. and Canada health and welfare programs, 401(k), ESOP, and related plans. You will respond to inquiries, audit changes in HRIS, and ensure accurate, confidential administration across benefit vendors and record-keeping.

You will collaborate with HR partners and leadership, prepare periodic reports, support retirement committee activities, and help improve processes that deliver value to employee-owners in a fast-paced environment.

Qualifications

  • Bachelor's Degree in Business or equivalent required.
  • Self-motivated, well-organized and detail-oriented.
  • Ability to meet deadlines and multitask in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Maintains confidentiality and adapts to changing regulations.

Responsibilities

  • Support HR/Benefits programs for the U.S. and Canada (Health & Welfare, 401(k), ESOP, retirement reports).
  • Respond to routine benefit inquiries and audit changes in HRIS for accuracy and compliance.
  • Prepare and deliver retirement plan reports to carriers; administer service award programs.
  • Assist with updating intranet and generate HR/Benefits reports for leadership.

In the role of Benefits Assistant, you will play a key part in supporting HDR’s comprehensive employee benefits programs across the U.S. and Canada. You will be a trusted resource for employees, HR partners, and benefit vendors, ensuring accuracy, efficiency, and exceptional service throughout every interaction. We’ll count on you to:

Employee Support & Benefits Administration
  • Respond to routine benefit inquiries, providing clear guidance to employees and resolving coverage-related issues.
  • Process and audit benefit changes within HDR’s HRIS to ensure data accuracy and compliance with plan requirements.
  • Provide administrative support for Health & Welfare, 401(k), ESOP, International Phantom Shares, Executive Benefits programs, and other company-sponsored plans.
  • Manage international PTO tracking with accuracy and confidentiality.
  • Support ongoing administration of HDR’s U.S. and Canada health and welfare plans, including documentation, eligibility maintenance, and vendor communication.
  • Prepare and deliver 401(k) and Deferred Compensation reports for retirement plan carriers to support timely processing.
  • Administer HDR’s service award program, ensuring seamless recognition of employee milestones.
Content Management & Reporting
  • Assist in maintaining and updating the internal Benefits Intranet site to keep information current and employee-friendly.
  • Analyze HR and benefits-related data to support decision‑making, audit requirements, and program improvements.
  • Compile detailed reports, summaries, and presentations for use by HR leadership and retirement committees.
Coordination, Compliance & Project Work
  • Schedule, coordinate, and provide administrative support for retirement committee meetings.
  • Support compliance‑related tasks such as documentation management, record-keeping, and audit preparation.
  • Lead and assist with special projects that enhance process efficiency, strengthen program delivery, or support new benefit initiatives.
  • Perform other duties as assigned to contribute to the overall success of the HR/Benefits team.
Preferred Qualifications
  • Experience with HRIS, Payroll and Benefits related systems a plus
  • A minimum of 2 years of Benefits related experience
Required Qualifications
  • Bachelor's Degree in Business or equivalent related work experience required
  • Self-motivated, well-organized and strong attention to detail
  • Ability to adhere to deadlines and multi-task in a fast‑paced environment
  • Ability to communicate well and display good customer service on the phone, via email and face‑to‑face
  • Must be willing to keep up with changing laws and regulations
  • Must have the ability to keep a high level of confidentiality
  • Excellent written and verbal communication skills
  • Demonstrates accuracy and thoroughness and monitors own work to ensure quality
  • An attitude and commitment to being an active participant of our employee‑owned culture is a must
