Job summary

Ulta Beauty in Bolingbrook, IL seeks a Benefits Analyst to support administration, reporting, analysis and reconciliation of associate benefits and leave programs. You’ll partner with Finance, Payroll, People Success and vendors to develop accurate operational reporting and drive data‑driven decision making.

The ideal candidate is highly analytical, with advanced Excel skills and experience handling large datasets and vendor systems to build actionable reporting solutions.

Qualifications

  • 5-8 years of experience in benefits administration, leave administration, HR operations, reporting or data analysis.
  • Advanced Microsoft Excel skills (pivot tables, XLOOKUP/VLOOKUP, data validation, Power Query).
  • Knowledge of leave laws and regulations (ERISA, COBRA, HIPAA, FMLA, ADA).
  • Experience with HRIS, payroll, benefits and/or leave vendor systems.
  • Excellent interpersonal and communication skills with a strong customer focus.
  • Strong analytical and critical thinking skills with high attention to detail.
  • Able to manage multiple projects and meet deadlines.

Responsibilities

  • Manage and maintain all benefit data files, ensuring accuracy and timely delivery.
  • Partner with Finance, Payroll and People Success to support reconciliations, budgeting, forecasting and audits related to associate benefits.
  • Extract, manipulate, validate and reconcile data from vendor systems and internal platforms.
  • Collect, compile and analyze data to make recommendations.
  • Lead ACA process including hours measurement and coverage offers monthly and annually; coordinate Form 1095 and ACA filings with the IRS.
  • Collaborate with external auditors to complete 401(k) audits and prepare 5500 forms.
  • Support the Annual Enrollment process.
  • Work with vendors to understand reporting capabilities and troubleshoot reporting issues.
  • Assist with vendor implementations as needed.
  • Maintain confidentiality and ensure regulatory compliance.

THE IMPACT YOU CAN HAVE
  • Position is located at corporate offices in Bolingbrook, IL (Hybrid work schedule -- approx. 6 days in office per month)

The Benefits Analyst is a key contributor within the Benefits Team. This role is responsible for supporting the administration, reporting, analysis, and reconciliation of associate benefits and leave programs. This role partners closely with Enterprise Leaders, People Success, Finance, Payroll and external vendors to develop accurate and meaningful operational reporting, identify trends, resolve data discrepancies, and support compliance and business decision-making.

The ideal candidate is highly analytical, advanced in Excel, comfortable working with large datasets, and able to independently navigate vendor reporting platforms to build actionable reporting solutions.

YOU'LL ACCOMPLISH THESE GOALS BY:
  • Responsible for managing and maintaining all benefit data files, ensuring accuracy, error resolution and timely delivery.
  • Partner with Finance, Payroll, and People Success to support reconciliations, budgeting, forecasting, and audit requests related to associate benefits.
  • Extract, manipulate, validate, and reconcile data from multiple vendor systems and internal platforms.
  • Collect, compile, and analyze data to make recommendations.
  • Leads the execution of the ACA process including hours measurement and coverage offers on a monthly and annual basis as well as working with benefit enrollment vendor to test, communicate, and distribute Form 1095 and file ACA forms with the IRS.
  • Works with external auditors to complete 401(k) audit and prepare 5500.
  • Supports the execution of the Annual Enrollment process.
  • Collaborates with benefits and leave vendors to understand available reporting functionality and troubleshoot reporting issues.
  • Assists with vendor implementations as needed.

The Essentials Of Success
  • 5-8 years of experience in benefits administration, leave administration, HR operations, reporting or data analysis.
  • Advanced Microsoft Excel skills required, including pivot tables, XLOOKUP/VLOOKUP, data validation and reconciliation, and Power Query.
  • Knowledge of leave laws and regulations and HR/benefits laws, including ERISA, COBRA, HIPAA, FMLA and ADA.
  • Experience working with HRIS, payroll, benefits, and/or leave vendor systems.
  • Excellent interpersonal and communication skills with a strong customer focus.
  • Strong analytical and critical thinking skills with high attention to detail.

PREFERRED REQUIREMENTS:
  • Bachelor's degree in Human Resources, Data Analytics, Business Administration, or a closely related discipline, or an equivalent combination of education, certifications, and experience.
  • Experience with SuccessFactors, UKG, and/or ADP.

The pay range for this position is $66,200.00 - $80,000.00 / Year with the opportunity for eligible associates to earn additional compensation pursuant to the Company's bonus plan. Exact pay will be based on factors including, but not limited to relevant education, qualifications, certifications, experience, level, shift, geographic location, and business and organizational needs.
