Summary

The Access Center Associate gathers, summarizes and prioritizes client information for individuals being referred for admission and hospital outpatient services. Responsibilities include presenting case information to clinical, psychiatric and nursing staff; scheduling evaluations and admissions; fielding crisis calls and providing emergency interventions when needed; providing information to the public about Acadia programs and other community resources. The role maintains an accurate census of patients in Acadia programs and coordinates bed management functions. It documents data for processes and programs and distributes reports related to findings. After-hours backup is provided to multiple Acadia departments including Registration, Utilization Management, Facilities, Ambulatory Clinic Scheduling and the Narcotic Treatment Program. The role assists in coordinating involuntary processes for inpatient admissions and PTP applications for patients requiring court-ordered medication management. The position requires adherence to process and procedures, adaptability to change, and an understanding of the department as the central hub of workflow within the hospital. The work environment is active and may involve emotionally charged and confidential information; it requires problem solving in a dynamic setting. The work setting includes office, hospital, and outpatient clinic environments with interactions with patients, family members, and staff. Equipment used includes computers, fax machines, telephones, security equipment, alarm systems, photocopiers, and ITV equipment. Performs duties as assigned by Manager or Supervisor.

Responsibilities

• Understands the mission of The Acadia Hospital and familiarizes self with facility policies, procedures, and inter-departmental directives. Maintains professionalism, responds to urgent situations promptly, and notifies supervisor of unusual incidents. Works cooperatively with supervisors and clinical staff; fosters teamwork; attends departmental staff meetings and reviews materials as required; stays informed of changes via email and posted documentation. Demonstrates flexibility and initiative; represents the department professionally and assists in training new staff.
• Maintains flexible, punctual attendance; provides accurate information about Acadia programs and community resources; demonstrates cultural sensitivity and non-judgmental care; supports coverage for other shifts and holidays. Schedules appointments (Open Access, scheduled evaluations, Care Coordination). Manages legal paperwork related to involuntary admission and commitment processes, including knowledge of court applications and process flows for involuntary commitment, medication over objection, emergency guardianship, and progressive treatment plans. Ensures registrations and after-hours coverage functions are up to date. Handles disaster information, documentation, language interpreter services, XTEND system lookups and paging procedures. Monitors and maintains patient information in XTEND, answers calls related to physician on-call coverage, and responds to alarms and crisis situations per protocol.
• Establishes rapport, asks relevant questions, and uses active listening to discern the presenting problem; documents clinical information professionally; applies DSM-5 knowledge to assess severity and urgency and assign correct Clinical Category for bed management. Utilizes the Clinical Review system to ensure appropriate admissions and ensures timely follow-up. Coordinates with co-workers to maintain accurate census information and completes administrative paperwork on time. Maintains safety practices and participates in continuous improvement of the department. Supports a safe, compliant work environment and assists with worker-related processes as needed.
• Monitors overtime with supervisor and supports schedule adjustments; pursues ongoing professional development and actively participates in training of new staff; adapts to organizational changes and contributes ideas for departmental improvement.
