General Description:

The AVP Supply Chain Operations oversees the day-to-day logistics, distribution, and purchasing activities for OU Medicine Supply Chain. Responsibilities include planning, scheduling, and coordinating the supply, material flow, purchasing, and storage of inventory from suppliers to end users. This includes oversight of the Purchasing, Receiving, Courier, Warehousing, and Inventory Control teams, as well as on-site operations at each facility. The Administrative Director is responsible for continuous improvement and developing policies, procedures, and processes to ensure effective and efficient Supply Chain operations.

Essential Responsibilities:

  1. Partner and lead OU Medicine management to pursue opportunities for reducing expenses in equipment, supplies, and service areas across the supply chain.
  2. Plan, schedule, and coordinate supply, material flow, purchasing, and storage from suppliers to end users.
  3. Control the flow of materials and/or products to ensure timely and specifications-compliant arrival, maximizing efficiency.
  4. Monitor quality, quantity, cost, and efficiency of supplies' movement and storage; find cost-effective ways to deliver supplies and materials throughout OU Medicine.
  5. Manage supply distribution processes, including par level replenishment, requisitions, stat requests, and other delivery requirements.
  6. Lead or direct system-wide purchase orders for capital equipment, products, and services.
  7. Analyze data to monitor performance and plan improvements and demand.
  8. Coordinate and control the order cycle.
  9. Create policies or procedures for logistics and purchasing to ensure effective operations.
  10. Resolve issues between Suppliers, Accounts Payable, and Receiving related to purchase orders, invoice pricing, and receipt.
  11. Maintain metrics, reports, process documentation, and records related to customer service, training, and safety.
  12. Manage logistics and purchasing costs within budgets; monitor expenses and initiate cost-reduction plans.
  13. Maintain appropriate inventory levels and ensure accuracy of on-hand inventory and turnover rates.
  14. Hire, evaluate, train staff, and address personnel issues within the area of responsibility.
Leadership:

Provide leadership to ensure cost-effective supply chain activities that meet customer expectations. Demonstrate team leadership, conflict resolution, diversity management, and effective communication. Participate in hospital and medical center committees and represent OU Medicine externally as needed.

Financial:

Participate in developing budgets, programs, policies, and plans. Partner with management to pursue cost reduction opportunities and deliver value maximization.

Process, Quality and Service Improvement:

Ensure compliance with procurement and inventory management rules. Collaborate to improve procurement cycles and foster a culture of customer service. Implement performance metrics focusing on process improvement, automation, and service quality. Maintain relevant records and documentation.

Human Resource/Personnel Management:

Lead recruitment, hiring, evaluation, and development of staff. Implement organizational changes to integrate departments into a comprehensive supply chain function. Lead, motivate, and manage change within a diverse team.

Information Management:

Develop monitoring systems, establish metrics, and ensure accurate data dissemination through reports and database management.

General Responsibilities:
  • Performs other duties as assigned.
Minimum Qualifications:

Education: Bachelor's degree in related field; MBA preferred.

Experience: 6+ years of professional experience, with at least 3+ years in supply chain management or projects, preferably in a large hospital or multi-campus setting.

Certifications: Certified Materials & Resource Professional (CMRP) preferred.

Knowledge, Skills, and Abilities:

Proven success in developing and implementing supply chain programs, using metrics for decision-making, and managing external vendors. Strong business understanding, stakeholder relationship skills, and effective communication. Ability to solve complex problems, think strategically, and manage multiple priorities. Proficient in Microsoft Office.
