Job summary

Poppy Bank is seeking an AVP, Facilities Manager to lead facilities operations, maintenance, and vendor relationships across multiple branches. The role oversees requests from intake to resolution, ensures safety and compliance, and supports relocations, remodels, and operational initiatives.

Qualifications

• Bachelor's degree in facilities management, construction management, business administration, project management, or related discipline, or equivalent experience.
• Progressively responsible experience in facilities operations, property or branch maintenance, vendor management, construction or project coordination.
• Ability to manage high volume of service requests from intake through closure with accurate status and documentation.
• Experience coordinating vendors, reviewing proposals, invoices, and ensuring service quality.
• Knowledge of preventive maintenance concepts, workplace safety, and building systems.
• Excellent organizational and time management skills with ability to multi-task.
• Strong verbal, written, and interpersonal communication skills.
• Ability to work independently with minimal supervision and respond to urgent facilities matters outside hours.
• Valid driver's license and access to a vehicle.

Responsibilities

• Oversee servicing and maintenance of facility equipment and systems, engaging external vendors when needed.
• Lead branch and office maintenance, furniture installation, equipment relocation, and setup.
• Coordinate responses for facilities incidents, on-site assessments, and vendor dispatch.
• Conduct routine facility inspections and verify maintenance conditions.
• Perform hands-on facility maintenance, troubleshooting, and minor repairs.
• Monitor facilities email and other request channels for timely responses.
• Oversee service requests from intake through resolution with clear prioritization.
• Coordinate preventive maintenance activities and monitor upcoming service dates.
• Engage with vendors, obtain proposals, confirm scope, and coordinate site access.
• Manage vendor relationships, monitor performance, and ensure satisfactory completion.
• Review invoices for alignment with scope and pricing; route for approval.
• Maintain vendor contact information, agreements, and maintenance schedules.
• Identify recurring issues and propose corrective actions with tracking.
• Collaborate with Project Managers and stakeholders on updates and project closeout.
• Prepare monthly facilities status reports for management review and governance.
• Draft content for Board reports and maintain supporting records.
• Assist with branch openings, relocations, remodels, and other projects.
• Support business continuity and emergency response related to facilities.
• Assist with facilities budget planning and expense monitoring.
• Promote consistent service standards and documentation across locations.
• Safeguard confidential information and maintain discretion.
• Complete administrative tasks accurately and on time.
• Provide backup support during staff absences.
