Job summary

LifeStar Response seeks an experienced Fleet Service Manager to oversee maintenance and repair operations for our EMS fleet. This leadership role ensures safety, reliability, and uptime while guiding a team of mechanics and coordinating maintenance activities.

You will analyze maintenance KPIs, manage budgets, and collaborate with Operations to optimize fleet readiness and reduce expenses.

Qualifications

  • High School Diploma or GED required; Associate's degree or technical certification preferred.
  • 3-5 years of fleet or automotive service management experience.
  • Supervisory or leadership experience required.
  • Strong working knowledge of automotive repair, diagnostics, and fleet operations.

  • Manage the daily workflow of the fleet maintenance department.
  • Schedule and oversee preventative maintenance, inspections, diagnostics, and repairs for all fleet vehicles.
  • Ensure all vehicles meet applicable federal, state, DOT, and company safety and compliance standards.
  • Supervise, coach, train, and evaluate fleet mechanics and maintenance personnel.
  • Prioritize repairs to minimize vehicle downtime and maximize fleet availability.
  • Coordinate outsourced repairs and vendor relationships when necessary.
  • Maintain accurate maintenance records and documentation using fleet management/service software.
  • Monitor vehicle maintenance history and identify trends to improve fleet reliability.
  • Review, analyze, and report key performance indicators (KPIs), including vehicle uptime, maintenance costs, preventive maintenance compliance, repair turnaround times, and technician productivity.
  • Develop and implement strategies to improve operational efficiency and reduce maintenance expenses.
  • Order, inventory, and manage parts, tools, equipment, and shop supplies.
  • Ensure proper warranty tracking and recovery whenever applicable.
  • Maintain a clean, organized, and safe maintenance facility.
  • Assist with budgeting, forecasting, and controlling maintenance expenditures.
  • Respond to emergency maintenance situations as needed.
  • Collaborate with Operations, Logistics, and Leadership to support fleet readiness.
  • Participate in vehicle replacement planning and fleet lifecycle management.

This leadership position is responsible for ensuring that all company vehicles remain safe, compliant, reliable, and available for service while leading a team of mechanics and coordinating all fleet maintenance activities.

Essential Duties & Responsibilities

  • Schedule and oversee preventative maintenance, inspections, diagnostics, and repairs for all fleet vehicles.
  • Ensure all vehicles meet applicable federal, state, DOT, and company safety and compliance standards.
  • Supervise, coach, train, and evaluate fleet mechanics and maintenance personnel.
  • Prioritize repairs to minimize vehicle downtime and maximize fleet availability.

  • Experience maintaining medium-duty commercial vehicles and/or ambulances preferred.
  • Demonstrated experience with fleet maintenance management software and computerized work order systems.
  • Strong understanding of DOT regulations, OSHA requirements, and fleet compliance standards.
  • Experience with inventory control and vendor management.
  • Ability to analyze data and use KPIs to drive operational improvements.
  • Proficient with Microsoft Office, including Excel.
  • ASE certifications are preferred but not required.
  • Valid driver's license with an acceptable driving record.

  • Ability to occasionally respond to after-hours fleet emergencies.
