Job summary

Troutman Pepper Locke LLP is seeking an AV Services Coordinator to set up and manage all AV and video conferencing requests. The role supports on-site and regular remote meetings across offices with a strong customer-service focus.

The position requires hands-on AV setup, troubleshooting, and coordination with IT and administration. At least 3 years in AV and familiarity with Cisco/WebEx/Zoom platforms are preferred.

Qualifications

  • Associates or higher-level degree preferred in AV or related field.

Responsibilities

  • Set up and manage all AV and video conferencing meeting requests.

  • Set up, test, operate, and tear down AV and videoconference equipment.
  • Advise on best AV platform for meetings and educate end users on equipment.

  • Arrange space, furniture moves, and seating for meetings.
  • Configure telecom connections for video conferencing equipment.
  • Provide basic in-room PC, laptop, email, and PowerPoint setup support.
  • Maintain conference room integrity and escalate issues as needed.

Audio Visual (AV) Services Coordinator

The Audio Visual (AV) Services Coordinator is responsible for setting up and managing all AV and video conferencing meeting requests. The AV Services Coordinator provides AV support for their assigned office and regular remote meeting assistance to other Troutman Pepper offices. The AV Services Coordinator is customer service focused to meticulously execute and support executive, client, and routine meetings in a fast-paced professional services environment.

Essential Duties and Responsibilities
  • Execute all aspects of videoconferences including call set up, end user training, troubleshooting, and follow through on escalation of issues.
  • Provide hands-on meeting set-up and support, which may involve interfacing with attorneys and clients.
  • Coordinate with meeting hosts and other members of Administration and the IT Department for advanced support if required.
  • Responsible for set-up, testing, operation, and tear down of AV and videoconference (VTC) equipment (e.g., video systems, computers, audio/videoconference equipment, video switchers, microphones, video cameras, audio systems, operation of integrated AV systems).
  • Consult on best audio-visual platform to utilize for meetings and educate all levels of end users on presentation technology equipment.
  • Troubleshoot issues regarding AV and videoconferencing related technology, including various projectors, control, and audio/videoconferencing systems.
  • Arrange physical space for meetings including coordinating furniture and equipment moves to provide customized seating arrangements.
  • Configure telecommunication connections to enable utilization of video conferencing equipment.
  • Provide basic in room PC, laptop, email, wireless internet access, and Power Point set-up support.
  • Utilize various audio and video conferencing technologies and systems, such as control and voice amplification systems, integrated AV, and web access.
  • Maintain conference room integrity and elevate housekeeping and technical issues, as well as conferencing technology and applications, to appropriate internal or external departments.
  • Perform regular preventive maintenance checks (e.g., report and/or address issues, such as cable management problems, safety standards noncompliance).
  • Adhere to and promote continual adoption of change management policies and procedures.
  • Maintain understanding of current and new technology.
  • Update job knowledge by participating in training opportunities, reading professional publications, and maintaining certification levels by participating in professional organizations and pursuing training opportunities.
  • Assist with fulfilling any multimedia technical needs as assigned.
  • Must be flexible for occasional overtime as well as off-hours needs.
Knowledge, Skills, and Abilities
  • Intermediate to advanced knowledge in video conference systems/applications and audio/visual technologies used to support virtual meetings on the firm’s integrated video conferencing network, and PC based applications, such as Teams, Webex, Zoom and Bluejeans.
  • Ability to act quickly and effectively to detect, diagnose, and resolve PC related hardware/software, operational, connectivity, and compatibility issues.
  • Proficient with audio and video conferencing technology and working knowledge of lighting, amplification, projection systems, and software used for presentations particularly PowerPoint, Excel, Word, and Windows Explorer.
  • Strong client service mindset, interest, and customer service skills.
  • Excellent verbal and written skills to communicate technical issues to attorneys and staff in a non-technical manner.
  • Ability to work independently and reliably, with attention to detail and accuracy while maintaining the highest level of confidentiality.
  • Strong technical aptitude and creative troubleshooting and problem-solving skills.
  • Ability to take pro-active or corrective action as necessary within established guidelines.
  • Working knowledge of h.323 and SIP standards and operational break/fix support knowledge.
  • Working knowledge of Microsoft Teams, Cisco WebEx, and Zoom applications.
  • Knowledge of Microsoft Networking, and understanding of DNS, DHCP, TCP/IP.
  • Able to lift, bend, kneel, and reach, as well as lift and carry up to 50 lbs.
Education and/or Experience
  • Associates or higher-level degree preferred and/or the successful completion of an AV certificate program; any combination of training, education, or experience that demonstrates the ability to perform the duties of the position may be considered.
  • Minimum of three (3) years of audio-visual experience.
  • Experience with Cisco telepresence platforms and infrastructure products, Cisco UCM, Cisco TMS, and Polycom codecs strongly preferred.

Compensation

Hiring Salary Range: $60,000.00 - $80,000.00
