Job summary

Maricopa County’s Office of Public Defense Services seeks an Attorney Assignment Specialist to manage timely and accurate attorney assignments for indigent clients. You will interface with clients and the judicial system daily, handling case data, contracts, and payments in CACE and ICIS while maintaining strong client communication.

Ideal candidates have three years of relevant legal-administrative experience, a high school diploma or GED, and proficiency with MS Word/Excel.

Qualifications

  • Requires three years of progressively responsible full-time legal, court, or justice system administrative experience.
  • Diploma or GED required; substitution possible with related education/experience.
  • Experience with ICIS and MS Office is preferred.

Responsibilities

  • Receive requests and make attorney assignments per contractual guidelines.
  • Research case information using CACE/ICIS.
  • Enter assignments and payments in CACE and notify courts.
  • Assist with receptionist duties and vendor correspondence.
  • Support other desks as needed.

Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. This position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

In this role, you will have an opportunity to interface not only with our clients but also with the Arizona State Judicial System daily. You are responsible for the timely and accurate assignment of legal counsel or guardian ad litem to indigent clients for a variety of courts throughout the County as well as clerical duties related to the assignments.

The Maricopa County Office of Public Defense Services assigns and oversees private attorneys contracted to represent indigent individuals in criminal, delinquency, dependency, mental health, and probate matters. We provide administrative support, financial oversight, integrated technology solutions, and HR support to all five of Maricopa County's Indigent Representation offices (Public Defender, Legal Defender, Legal Advocate, Public Advocate and Contract Counsel) in an effort to ensure indigent individuals have their fundamental legal rights protected and receive quality legal representation.

We Require
  • Three years of progressively responsible full-time legal, court, or justice system administrative experience
  • High school diploma or GED
  • A combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis
We Also Value
  • Experience using Integrated Compliance Court Information System (ICIS)
  • Basic proficiency with Microsoft Word, Excel, and Outlook
Job Contributions
  • Receives requests and makes attorney assignments in accordance with contractual guidelines
  • Researches miscellaneous case information using the department case management system (CACE) and ICIS
  • Creates assignments and enters payment information in CACE
  • Notifies Maricopa County courts of the assignments appropriately and promptly
  • Reviews court minute entries to reconcile assignment and payment requests
  • Maintains attorney assignment statistics
  • Answers questions regarding the Office of Public Defense Services (OPDS) and court procedures from contract attorneys, vendors, courts and indigent clients
  • Attends meetings and training regarding changes of court protocol
  • Provides coverage for other assignment desks as assigned
  • Serves as receptionist by answering phone inquiries, sorting and distributing mail, greeting visitors, and maintaining vendor correspondence as requested
Working Conditions

Indoor office setting, often high volume, extended periods sitting at a computer inputting or reviewing data

Unscheduled and frequently changing tasks, decision-making, concentration/vigilance, and public contact are frequent occurrences

Upon successful completion of initial training, this position has the option to choose among several hybrid schedule options, including the potential to work up to 5 days from home each pay period
