Associations Coordinator

Job summary

Celtic Chicago is seeking an Association Manager to lead planning, budgeting and member relations within our Chicago-area nonprofit client base. You will oversee onboarding, committees, dues, and program approvals while coordinating conferences, registrations, speakers, and meeting materials.

The role requires 1–3 years in association management, a related degree, and strong organizational and communication skills. Occasional evening events in Chicagoland are expected.

Qualifications

• 1-3 years of experience in association management.
• Degree in association management, business communications or marketing.

• Conceptual thinker and problem solver.
• Experience in meeting registration, associations management, and customer relationship management software systems preferred.

Responsibilities

• Manage annual association planning and budgeting in conjunction with the boards of directors.
• Manage new board member onboarding programs.
• Understand marketplace and trends to keep the association relevant to current and potential members.
• Manage committees in achieving annual goals.
• Track year to date monthly budgeting and communication with boards.
• Establish rapport and build trust with Boards through regular meetings and communications.
• Onboard and communicate with new members.
• Assist with new member application programs.
• Supervise membership requests.
• Assist with dues collection as necessary.
• Manage the details of event planning to create meaningful conferences or meetings for the membership.
• Must be able to attend local and evening events in the Chicagoland Area.
• Must be able to occasionally lift and carry event materials weighing up to 20 lbs.
• Manage logistics for meetings, including registration, speakers, badges and meeting materials.
• Supervise meeting site selection, hotel contracting, food & beverage and AV services.
• Maintain association meeting RFPs for contracting purposes.
• Manage selection of association giveaways.
• Prepare and organize materials for meeting brochures, PowerPoint presentations and conference materials.
• Manage program approval process for continuing education programming.
• Supervise distribution of member CE instructions and certificates.
• Manage member communication including newsletters, e-blasts.
• Oversee website content to ensure postings are relevant and timely.
• Create networking engagement between members to provide value.
• Manage resource allocation in conjunction with director.
• Manage intern program – revise job description.
• Contribute to overall departmental optimization and growth.
• Contributes to the effective functioning of the department and the agency.
• Displays professional work standards and attitude.
• Represents the company in a positive, professional manner during client interaction.
