Responsibilities
  • Provide administrative and office management support; including meeting scheduling, travel coordination, reimbursements, credit card reconciliation, and processing vendor and subscription payments. Support meetings and projects by reserving spaces, preparing materials, confirming technical needs, and contributing to agendas and planning sessions.
  • Oversee document imaging processes, ensuring timely imaging and organization of research documentation.
  • Manage and maintain the PFLF donor database (CRM); perform accurate data entry, regular audits, and updates from news sources.
  • Support team through wealth screenings validations, CRM batch updates, biographical note reviews, and other research requests.
  • Serve as backup to the prospect development manager.
Required Skills, Knowledge, and Abilities
  • Skilled in managing calendars, travel, reimbursements, and financial reconciliations with accuracy. Proficient in Microsoft Office Suite; working knowledge of SharePoint preferred. Experienced in data entry, auditing, and maintaining records in a CRM or donor database. Comfortable navigating software systems and managing electronic files.
  • Strong verbal and written communication skills; effective collaboration with internal teams and external partners.
  • Ability to work independently and as part of a team.
  • Strong organizational and interpersonal skills; detail-oriented and customer-focused.
  • Capable of handling multiple tasks, meeting deadlines, and working under pressure. Proactive and adaptable to changing priorities.
  • Skilled in problem-solving, analyzing information, and recommending solutions. Resourceful in addressing logistical or technical issues.
  • Maintain confidentiality and exercise discretion with sensitive information.
  • Ability to work a hybrid schedule with in-office days in West Lafayette, Indiana, based on work needs and team meetings.
Minimum Education/Experience and Benefits
  • High School Diploma/GED required.
  • At least 2 years of administrative support or office coordination experience required.
  • Experience in higher education, fundraising, or nonprofit environments is preferred.
