About the Role: Associate Project Manager, Media
Step into a pivotal role where your organizational prowess and media expertise will directly shape how audiences discover and engage with beloved content. As an Associate Project Manager, Media, you will be the essential link connecting content productions with internal marketing, publicity, and sales creative teams. Your work will ensure the seamless flow of media assets, troubleshoot delivery challenges, and manage critical restrictions, enabling the launch of impactful marketing campaigns. Key Responsibilities
- Establish, manage, and grow strong relationships/partnerships with content providers on behalf of Marketing.
- Acquire show deliverables and ad hoc requests to specification.
- Troubleshoot file delivery and formatting issues to ensure smooth operations.
- Work closely with Marketing Creatives on day-to-day media requests and priorities.
- Collaborate with internal partners to acquire content for special projects, sizzles, and industry events like Upfront.
- Distribute source content to creative vendors, agencies, and other partners.
- Maintain a robust media library, ensure media security, and oversee media retention policies.
- Coordinate the capture of live feed and off-air network recordings.
- Oversee vendor payment processes.
- Provide necessary show documents as needed.
- Input and update show metadata and delivery information on internal marketing databases.
- Track, input, and communicate source content restrictions to partners.
- Onboard and manage external user accounts on media and delivery platforms.
- Acquire requested third-party footage for use in marketing content.
- Provide coverage for other Project Managers, Media, during absences.
- Create and/or update how-to guides for the team.
- Test new processes and workflows, capturing findings for continuous improvement.
- Set up and lead onboarding sessions with agencies on media management processes.
- Represent the team in departmental meetings.
- Work primarily on high-priority titles, high-level special projects, and company sizzles.
- Manage promo and asset delivery processes across multiple television titles and brands.
- Track, organize, and coordinate media assets, delivery timelines, approvals, and final deliverables.
- Partner with internal stakeholders, creative teams, post-production partners, vendors, and cross-functional team members to keep projects moving forward.
- Provide project support for team members in a highly collaborative, cross-trained environment.
- Support the team in the launch and adoption of new asset management systems.
- Work independently, prioritize competing deadlines, and maintain accurate project documentation.
Must-Have Qualifications
- Bachelor’s Degree.
- 5+ years of Marketing, Broadcast, Production, or Post-Production experience.
- Strong understanding of file formats and Television Post Production processes.
- Strong verbal presentation skills.
- Proficient in Keynote, PowerPoint, Teams, Google Docs, and other relevant productivity tools.
- Basic knowledge of rights management.
- A forward-thinking problem solver.
- Ability to work independently and as part of a collaborative team.

- Prior experience in entertainment, studio, agency, post-production, AV marketing, broadcast marketing, or media asset delivery environments.
- Experience coordinating promotional assets, trailers, sizzles, digital/social/theatrical videos, localized assets, or similar creative marketing deliverables.
- Strong understanding of post-production workflows, asset tracking, quality control, final delivery, file management, and vendor/stakeholder coordination.
- Ability to work autonomously while staying aligned with a collaborative team structure.
- Mac experience required.
Nice-to-Have Qualifications
- Prior entertainment or post-production agency experience.
- Ideal backgrounds include Post Production Coordinator, AV Marketing Coordinator, Creative Operations Coordinator, Asset Manager, Finishing Assistant, Localization Coordinator, or Assistant/Associate Project Manager within media, entertainment, or agency environments.
- Demonstrated hands-on experience with asset sourcing, deliverables tracking, QC, delivery calendars, media workflows, file conversions, video/audio codecs, and external vendor coordination.
- Experience supporting fast-paced campaign cycles, multiple brands/titles, streaming platform deliverables, studio clients, or marketing trailers/promos.
- Agency or post-production experience is preferred.
- Airtable experience is strongly preferred.
- Experience with comparable collaboration/documentation tools such as SharePoint, Google Docs/Google Workspace, and other project-tracking platforms.
- Experience with tools such as Adobe Creative Cloud, Frame.io, Aspera, Box, FTP platforms, Microsoft Office, Teams, or similar post-production/delivery systems is a plus.
- Familiarity with content and an appreciation for the brand is a plus.
