The Associate Project Manager (APM) of Research Operations will play a key supporting role in ensuring the successful execution of research projects from end to end. This individual will assist the Project Manager with administrative and operational tasks necessary to drive progress across multiple projects aimed at connecting diverse patient populations with clinical trials for innovative therapies.

The ideal candidate is detail-oriented, highly organized, and adaptable, with the ability to manage repetitive processes efficiently. While this role is primarily administrative, it may involve occasional community-facing work related to patient engagement.

Key Responsibilities

• Support the Project Manager in the daily execution and coordination of research projects.
• Perform administrative tasks such as scheduling meetings, maintaining trackers, taking meeting notes, managing shared project documentation, and preparing reports or slide decks.
• Help manage project timelines, deliverables, and action items by ensuring internal teams stay on task.
• Assist in the implementation of patient recruitment and engagement campaigns (e.g., reviewing outreach templates, updating communication funnels, tracking response rates).
• Maintain accurate records of communications and interactions with vendors, sponsors, or community organizations.
• Participate in internal team meetings and external calls with Sponsors, CROs, or vendors as needed; take notes and follow up on next steps.
• Support technology use across projects, including data entry into project management tools and patient engagement platforms.
• Contribute to quality control by reviewing documentation for completeness and accuracy.
• Provide assistance with outreach or event coordination for patient engagement efforts.

Qualifications

• 1–2 years of experience in project coordination, research operations, clinical trials, or a related administrative role.
• Strong organizational skills with high attention to detail and ability to manage repetitive tasks with accuracy.
• Excellent written and verbal communication skills.
• Comfortable working in a fast-paced, startup-like environment with evolving priorities.
• Proficiency with Microsoft Office, Google Workspace, and project management platforms.
• Ability to work independently while also supporting cross-functional teams.
• Bachelor’s degree preferred (Healthcare, Science, Public Health, or related field a plus).
• Interest in clinical research, healthcare, or patient advocacy strongly preferred.
• Proactive and eager to learn
