Responsibilities

  • Record daily journal entries and maintain cash, capital activity and fund transaction schedules.
  • Prepare reconciliations and assist with quarterly and annual reporting packages and financial statements.
  • Assist with end-to-end fund-level payments, including operating expenses and management fees.
  • Review payment requests for completeness, accuracy and approvals.
  • Prepare wire/ACH instructions and monitor payment cutoffs and approvals.
  • Support annual 1099 reporting and vendor management.
  • Coordinate with banks and vendors to resolve payment-related questions.

Work is performed in accordance with documented procedures and is subject to appropriate review and approval.

The Associate will also assist with fund-level payment processing, investor distributions, capital activity, cash reconciliations, financial reporting, and related internal-control activities. Work is performed in accordance with documented procedures and is subject to appropriate review and approval.

Key Responsibilities
Fund Accounting and Reporting
  • Record daily journal entries and maintain supporting schedules for cash, capital activity, fund expenses, and other fund transactions.
  • Prepare cash and bank reconciliations, research reconciling items, and escalates unresolved exceptions in a timely manner.
  • Assist with quarterly and annual reporting packages, financial statements, and supporting documentation for management, client, audit, and tax requests.
Fund-Level Payments and Cash Operations
  • Assist with the end-to-end processing of approved fund-level payments, including operating expenses, professional fees, management fees, investment-related funding, and other authorized disbursements.
  • Review payment requests and supporting documents for completeness and accuracy, including the legal entity, account, payee, amount, due date, coding, banking details, and required approvals.
  • Prepare wire, ACH, or other payment instructions in banking or treasury platforms for independent review and release, while observing payment cutoffs, dual-authorization requirements, and segregation of duties.
  • Monitor fund cash balances and anticipated funding needs; support short-term cash forecasts and account-funding requests as directed.
  • Maintain payment logs, approval evidence, and bank confirmations; reconcile completed payments and promptly follow up on rejected, returned, delayed, or otherwise unmatched transactions.
  • Coordinate with banks, custodians, administrators, vendors, and internal teams to resolve payment-related questions and service issues.
  • Support and assist with annual 1099 reporting process for fund level vendors as well as vendor management.
Internal Controls and Operational Support
  • Assist with quarterly internal control monitoring and related annual external control audit requests, quarterly user-access reviews, issue tracking, and remediation follow-up.
  • Help coordinate annual update of SOC control policies procedures and support control related special projects as directed by management.
Qualifications and Skills
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Zero to two years of relevant experience in fund administration, private equity fund accounting, treasury or payment operations, investor services, audit, or other financial services; internships and co-op experience are considered.
  • Foundational knowledge of accounting, cash activity, bank reconciliations, and financial controls, with the ability to apply established procedures consistently.
  • Strong attention to detail and a disciplined approach to validating payment and distribution data, including entity, account, payee or investor, amount, date, approval, and banking information.
  • Working knowledge of Microsoft Excel and the ability to learn fund-accounting systems, banking platforms, workflow tools, and investor portals.
  • Understanding of, or willingness to learn, core control principles such as segregation of duties, dual approval, evidence retention, exception management, confidentiality, and timely escalation.
  • Strong written and verbal communication, organization, time management, and problem-solving skills, with the ability to meet payment cutoffs and multiple recurring deadlines.
  • Ability to work effectively both independently and as part of a team in a fast-paced, client-service environment.
Preferred
  • Exposure to private equity fund structures, capital calls, and investor distributions.
  • Experience supporting payment processing, investor distributions, audit or control testing, cash operations, or related financial-operations workflows.
  • Knowledge of Investran preferred but not require
  • Familiarity with multiple online banking portals, treasury-management, document-management, or investor-portal platforms.

The pay rate range for this job position is $71,000 to $100,390. Actual compensation is influenced by a variety of relevant factors including but not limited to applicant’s skills, prior experience, qualifications, degrees, professional certifications, work arrangements and geographic location.
