Job description

The Associate Practice Manager (Associate PM) assists the Practice Manager in overseeing the delivery of the Sono Bello patient experience and the smooth and efficient operations of a Center's daily business activities. The Associate PM partners with the Practice Manager to share responsibility for team performance and business results, with the goal of becoming a fully qualified Practice Manager.

Responsibilities
  • Oversee and support day‑to‑day activities in an accredited out‑patient surgical facility, delivering an outstanding patient experience and running center operations efficiently.
  • Ensure adherence to policies, procedures, and AAAHC guidelines for operation.
  • Engage patients to ensure a quality interaction across their entire journey, partnering with the Patient Experience Team when necessary.
  • Own and execute new initiatives, policies, products, and procedural changes introduced through the National Support Center.
  • Build and champion action and development plans across team members to achieve company goals in a dynamic environment.
  • Deliver an outstanding Center business scorecard with deep understanding of performance metrics and drivers.
  • Submit, track, audit, and report center data accurately, including surgical note compliance, invoicing, bank deposits, payroll, logs, and patient chart incidence reports.
  • Maintain proper security of in‑house medications as dictated by policy.
  • Ensure office facilities are always properly maintained and in excellent condition for patients.
  • Work with the National Support Facilities Team and Property Management to meet facility standards.
  • Schedule clinicians and front‑desk team members efficiently, using required technology platforms.
  • Provide coverage as needed for staff members in a back‑up capacity across front‑desk and clinical teams.
  • Accountable for overtime hours and staffing levels necessary to maintain the mandated standard of care.
  • Communicate with governing bodies, executive management, surgeons, supportive functions, and center employees through regular discussions and meetings.
  • Resolve issues in real time, such as employee relations, customer service, ordering or materials requisitions, financial issues, and patient complaints.
  • Facilitate and assure top‑quality communication among patients, surgeons, employees, and National Support staff.
  • Share responsibility for the confidentiality, security, and physical safety of patient and clinical records, ensuring HIPAA compliance and timely retrieval of records.
  • Supervise secure collection, processing, maintenance, storage, and appropriate access to and usage of clinical records.
  • Ensure all patients, team members, and surgeons are treated with appropriate respect as dictated by Sono Bello's Rights and Responsibilities document.
  • Provide a timely and organized recruiting experience for potential new team members in collaboration with the National Support Talent Team.
  • Work with HR, the corporate risk manager, and credentialing manager to ensure new hire paperwork is completed accurately and aligned with initial training plans.
  • Ensure timely and accurate performance reviews and the consistent application of development plans and progressive discipline policies in partnership with HR.
Supervisory Responsibilities

This position assists the Practice Manager in supervising team members—including front desk, physicians, registered nurses, medical assistants, licensed practical nurses, and consultants—in accordance with organizational policies and applicable laws.

Education & Experience

BA/BS Degree or equivalent combination of education and experience.

Other Skills and Abilities

Possess experience or ability to perform audits using established standards and systems, communicate results and deficiencies effectively, be proficient with MS Office, learn a variety of computer operating systems, and handle sensitive and confidential matters appropriately.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals, and technical journals; ability to write reports, correspondence, and procedure manuals; ability to present information effectively and respond to questions from customers or employees.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability

Ability to conduct analysis of data from differing data sources, infer and summarize results, solve problems, and handle situations where limited standardization exists.

Physical Demands

Requirements include use of telephone and computer, hands or fingers for typing, close vision, sitting for extended periods, standing and walking, and lifting up to 20 pounds on occasion.

Work Environment

This position works in an office environment with a quiet to moderate noise level. Travel to other Sono Bello offices 1–2 weeks per quarter may be required.

Compensation

Compensation Range: $27 USD - $32 USD per hour. Pay may vary by location and depends on qualifications, experience, skills, and business needs. Full‑time employees may also receive benefits such as incentives, equity, health coverage, 401(k) matching, paid time off, and parental leave.
